One of our Government of Canada clients requires an Administrative Assistant for a 40 week contract. Must be bilingual, Must hld a Government of Canada Secret level security clearance, must have previous Government of Canada experience providing Administrative Assistant duties.
2.1. Scope of work/TASKS

• Support with information management i.e. build and maintain file management structure and ongoing file uploads, maintenance and updates of files to GC Docs; SharePoint and other IM systems
• Support tracking and processing of administrative files for procurement, HR and finance i.e. processing training requests, contract documents, security requests, staffing requests, invoice tracking and processing, budget forecast spreadsheets
• Support and coordinate meetings and registrations to learning events and other DGIA lead presentations/initiatives
• Receive, triage, and distribute messages that are received/need to be dispatched through the positional mailbox;
• Track receipt of messages that require monitoring the effectiveness of outreach;
• Dispatch messages to the DGO;
• Liaise with Translation Service in support of translation requests;
• Provide note taking support during meetings;

However, due to Covid-19, the Contractor’s Personnel will be able to work remotely from locations within the National Capital Area, using their Government of Canada issued laptops, until further notice.

Here is what is required:

Provisioning telecom devices (with detail information on how to) from the contracted Mobile Wireless companies across Canada. Knowledge of wireless intelligent devices is also highly relevant in order to minimize training time and maximize effectiveness. The function includes mostly provisioning and configuring new wireless devices by following a set of processes with the assistance of the SSC Wireless Team if require and maintaining the Wireless Migration project spreadsheets or databases. Other responsibilities can include responding to customer inquiries or needs such as explanation of equipment operation, shipping of products, product triage, troubleshooting and deletion of the device’s data. More specifically, the resource will be involved in the following general activities
• Plan, co-ordinate and implement mobile wireless telecommunication devices based on SSC ENT requirements
• Backup and activation of wireless equipment if require
• Configure and troubleshoot of wireless equipment
• Generate or maintain the wireless Migration project ordering electronic files
Responsibilities could include but are not limited to:
• Plan, co-ordinate and implement mobile wireless telecommunication systems based on the users’ requirements.
• Explain in non-technical terms the various wireless telecommunications products and services.
• Shipping of products by following SSC instructions
• Product triage and data deletion
• Troubleshooting
• Communicate effectively orally and in writing.

To qualify you:
1. must have immediate availability.
2. must have two (2) years of extensive experience using Microsoft office software (Excel, Power point, Word)
3. must have Enhanced Reliability security clearance valid for the length of the contract.
4. must demonstrate that you are fluently bilingual in both English and French.

1. The contractor must demonstrate the abilities and experience to undertake the following tasks at the “Advance level”.

2. The candidate must have 18 months experience within the last 5 years utilizing and developing Joint Task List (JTL) entries and selecting Joint Mission Essential Tasks (JMETs) at the operational level. Definitions are provided as follows for clarification to bidding contractors:

a. JTL is the overarching Canadian Armed Forces process and tool set that assists the development, planning, and assessment of joint operations and exercises at the strategic and operational levels; and

b. JMET is the outcome result of the a Canadian Armed Forces process and tool set that assists the development, planning, and assessment of joint operations and exercises at the strategic and operational levels which aids in the assessment of activities by assigning defined tasks to activities.

3. The candidate must have 5 years’ experience utilizing Microsoft Excel.

4. The candidate must be able to communicate by briefing and offering advice to senior officers (Colonel/Captain(Navy), Generals/Admirals/Commodore, and Executive level Public Service or foreign equivalents).

DUTIES OF THE RESOURCE

General

5. Develop refinements to the operational Joint Task List (JTL) program with senior officials and provide assistance with the strategic communication and implementation of the program. Accountable to the Joint Training Authority (JTA) Manager, the JTL planner is primarily responsible for leading the refinement of the JTL program, conduct detailed research from DND doctrinal sources, and assist in the selection and assignment of Joint Mission Essential Tasks (JMETs) in close collaboration with key partners.

Specific

6. Amalgamate discrete regional and deployed joint task force headquarters level tasks into a common Canadian Joint Task List (JTL).

7. Assist the JTA Manager and senior staff in development of task standards statements for each task.

8. Assist the development and upkeep of Excel based tracking documents for yearly exercises and operations to aid in the assessment of the activities effectiveness and relevance.

9. Assist in the development of an exercise evaluation plan encompassing the discrete assigned JMETs.
