🌟 Perfectionism Holding You Back? 🌟

Ever found yourself stuck in the endless loop of ā€œI’ll organize when I have the perfect planā€? Or getting so into the details you run out of energy! (True Story it once took me 8 hours to clean a half bathroom that truly wasn't even dirty or disorganized.) šŸ™‹ā€ā™€ļø You’re not alone! Perfectionism can be a sneaky roadblock, preventing us from getting organized. It’s something I’ve struggled with too, but here’s how I’ve learned to overcome it:

1ļøāƒ£ Team Up for Success: Sometimes, letting go of control and hiring a team to help organize my space is the best decision. So grateful for my team mates for having my back over the years when I'm overwhelmed with work and life. Having fresh eyes and expert hands can turn chaos into order faster than you think! Plus, it relieves the pressure of doing it all perfectly by yourself.

2ļøāƒ£ Less is More: The less I own, the easier it is to manage my ā€œstuff.ā€ Simplifying and decluttering has been a game-changer for me. When you have fewer things, you spend less time organizing and more time enjoying the things you truly love. That's why every about every 6 months I go into a different room with fresh eyes as to what I have used or needed in the past 6 months. Sometimes nothing leaves sometimes more than I expected to goes to a new home.

3ļøāƒ£ Daily Resets: Scheduling time into my day for small resets keeps everything from piling up. A quick 10-minute tidy-up can make a world of difference, keeping you on top of your space without the overwhelm. I like to do the reset in the evening before I go to bed, I love waking up to a calm space in the morning.

When you’re facing a mountain of paperwork—whether it’s years of receipts, bills, or correspondence—it can feel overwhelming. But there’s a simple technique that can make it manageable: the Pomodoro Technique. Commitment and accountability partners can also be an important tool with this technique. Using new systems can be scary but if you look around and discover your old system isn't working you need to try something new.

Often we keep papers for the wrong reasons. A fear of future need being the most common. Many people keep "just in case". I can tell you that just in case has an expiry date unless it is a legal, health or family historical documents.

Receipts etc. have an expiry date of 7 years. So if you are holding on to documents past 2017 they can go! That is the standard and best practice for record keeping.

What is the Pomodoro Technique?

The Pomodoro Technique is a time management method that breaks work into short, focused intervals, typically 25 minutes long, called ā€œPomodoros.ā€ After each Pomodoro, you take a short 5-minute break. This method not only helps you stay focused but also prevents burnout, making it easier to tackle even the most daunting tasks.

How to Use the Pomodoro Technique with Your Paperwork
Choose a Specific Task: Start with a single type of paper, like receipts from a particular year or a stack of correspondence. The key is to focus on one small, specific task at a time.

Set a Timer for 25 Minutes: Begin by setting a timer for 25 minutes. During this time, work solely on the task you’ve chosen—no distractions, just focused effort on sorting, organizing, or filing.

Work Until the Timer Rings: During this 25-minute interval, immerse yourself in the task. If you come across something that requires more time or research, set it aside to handle later, so you can keep up your momentum.

Take a 5-Minute Break: When the timer rings, stop working and take a short break. Stand up, stretch, grab a glass of water—do something relaxing and away from your workspace.

Repeat the Process: After your break, start another Pomodoro. After every four Pomodoros, take a longer break of 15-30 minutes to recharge.

Why It Works

Avoids Overwhelm: By focusing on just 25 minutes at a time, the task feels less overwhelming.

Builds Momentum: As you complete each Pomodoro, you’ll gain a sense of accomplishment that drives you forward.

Prevents Burnout: Regular breaks help keep your mind fresh and prevent the fatigue that often comes with long periods of work.

Tips for Success
Keep Track of Your Progress: Use a simple checklist to mark off each Pomodoro you complete. Seeing your progress can be incredibly motivating.

Start Small: If 25 minutes feels too long at first, start with shorter intervals and gradually increase as you get more comfortable.

Be Flexible: If a task is particularly challenging or takes longer than expected, don’t be discouraged. Adjust the Pomodoro length to fit your needs.

By using the Pomodoro Technique, you’ll find that your mountain of paperwork becomes much more manageable, one small step at a time. You’ll make steady progress, stay focused, and feel more in control as you work through your backlog.
