A supplier may add spare parts, samples, tools, catalogues or
promotional items after the main order has already been packed.

The extra items may be free of charge, but they are still physically
inside the shipment.

If they are added without informing the importer and freight
forwarder, the final cargo can be different from the packing list and
booking information.

Before pickup or consolidation, ask every supplier to confirm:

1. Has anything been added that is not shown on the original purchase order?
2. What is the exact commodity description and quantity?
3. Which carton, pallet or wooden case contains the additional items?
4. Does the final package count, weight or dimension change?
5. Have the packing list and other required commercial documents been updated?
6. Has the importer checked the document treatment with the
destination customs broker?

For machinery assemblies, equipment parts and other irregular air
cargo, weight and dimensions are only part of the booking information.

The warehouse and airline handling teams also need to understand how
each package can be moved.

Before requesting an airport-to-airport quotation, confirm:

• Must the package remain upright at all times?
• Can it be safely tilted or rotated during handling?
• Where is the centre of gravity?
• Are lifting points and forklift entries clearly marked?
• Is the package stackable or non-stackable?
• Do the quoted dimensions include the final skid, pallet or wooden case?
• Are there clear photos from every side?
• Are any fragile surfaces or protruding parts identified?

THE CONTAINER CHECK HAPPENS BEFORE THE FIRST CARTON GOES IN

A good loading plan cannot protect commercial cargo if the container
itself is not ready.

Before the first carton, pallet or wooden case is loaded, a basic
container inspection can help identify problems early—while there is
still time to report them.

What should be checked?

• Exterior panels: look for major dents, holes or visible damage
• Interior roof and walls: check for daylight, signs of leakage or
sharp projections
• Floor: confirm it is dry, clean and suitable for the planned cargo
• Doors: make sure they open, close and lock correctly
• Odour and residue: check for contamination from previous cargo
• Loading area: confirm there is safe access for the planned handling
equipment
• Photo record: take clear pictures before loading begins

If anything looks unsuitable, document it and raise the issue before
the cargo enters the container. Once loading has started, correcting
the situation can become much more difficult.

A carton that looks fine when it leaves the supplier may still be too
weak for an LCL sea shipment.

Before reaching the destination, consolidated cargo may pass through
several handling points, be moved with other shipments and carry
stacking pressure inside the logistics chain. Packaging therefore
needs to protect the goods throughout the journey—not only during
transport from the factory to the consolidation warehouse.

Before booking, check:

• Is the carton strength suitable for its gross weight?
• Are empty spaces filled to prevent movement inside the carton?
• Do corners and edges need reinforcement?
• Should dense, fragile or irregular cargo use pallets or wooden cases?
• Is each package clearly marked and is its stackability confirmed?
• Does the packing list match the final package count, weight and dimensions?

NOT EVERY CARTON IN ONE PURCHASE ORDER HAS THE SAME DEADLINE

When part of an order is urgent, importers often face two expensive
choices: wait for every supplier to finish, or move the entire
shipment by air.

There may be a better question:

Which exact products are needed first?

For a mixed commercial order from China, the shipping plan can be
built around SKU priority instead of treating every carton as equally
urgent.

Before deciding what moves by air and what moves by sea, confirm:

• The urgent SKU numbers and quantities
• Which cartons contain those products
• The final weight and dimensions after separation
• Whether the urgent items can be repacked safely
• The actual commodity description and value for each shipment
• The ready date of the remaining cargo
• Whether the balance is better suited to LCL or FCL

This matters because “send the urgent goods first” is not yet an
executable instruction. If cartons contain mixed SKUs, or the packing

describing everything as “general cargo” may look convenient—but it
leaves important questions unanswered.

Before sea or air freight is arranged, prepare a clear commodity list
for each product group:

• Exact product name
• Main material and intended use
• Number and type of packages
• Gross weight and dimensions
• Brand status, if applicable
• Whether the cargo contains batteries, liquids, powders, magnets or

Why does this matter?

CAN YOUR AIR SHIPMENT DEPART IN TWO LOTS?

For some commercial cargo, receiving 18 cartons out of 20 is still
useful. For others, two missing cartons can stop installation,
production or delivery to the final customer.

That is why “Is split shipment acceptable?” should be answered before
an airport-to-airport air freight booking—not after the cargo reaches
the airline terminal.

Before booking, confirm:

• Which packages form one complete working set
• Whether any carton contains a critical component
• Whether partial arrival can be cleared and collected separately
• Whether separate arrival documents would create extra work
• Who is authorized to approve a split shipment
• Whether the remaining cargo-ready date is confirmed with the supplier

If all pieces must travel together, tell your freight forwarder
clearly at the quotation and booking stage. If partial uplift is
acceptable, define which packages should receive priority and make
