Job Description
Job Purpose

To assist the Finance Manager in delivering comprehensive Bookkeeping services to VIable clients

To provide an effective customer focused support service to all VIable clients

Work closely with the staff teams in VIable client organisations

Seek at all times to be effective and efficient and to enhance the quality of the service which the Finance team gives to all its clients, thereby assisting them to provide a high quality of service.

Key Responsibilities and Accountabilities:

Bookkeeping Duties

Processing and entering invoices, orders, travel claims, receipts, journals and other financial records onto the SAGE 50 Accounting system in a timely and effective manner

Preparation and processing of income receipts and payments to suppliers and staff in a timely manner

Reconciliation of supplier statements on a regular basis and dealing effectively with queries

Maintenance and checking of petty cash records

Dealing with routine finance queries for example from clients to external bodies

Completing bank and credit card account reconciliations on SAGE.

Assist the Finance Manager as required in tasks associated with monthly and annual accounts

Experience

Minimum of two years ‘experience in a bookkeeping/ accounts role

Have excellent working knowledge of Sage.

Job Purpose:
• To assist the Human Resource Manager in delivering comprehensive Human Resource services to VIable's clients
• To provide an effective customer focused support service to all VIable clients
• Work closely with the staff teams in VIable client organisations
• Seek at all times to be effective and efficient and to enhance the quality of the service which the HR team gives to all its clients, thereby assisting them to provide a high quality of service.

Key Responsibilities and Accountabilities:
• Provide HR advice and guidance to our retained clients on a range of generalist HR and employment law related queries on the telephone, face to face and via email.
• Manage and participate in recruitment and selection exercises for clients including developing job descriptions and person specifications, preparing advertisements, checking application forms, shortlisting, interviewing and selecting candidates, drafting letters etc.
• Management of HR databases including on boarding and supporting clients with HR databases
• Provide support to clients on disciplinary investigations, grievance etc
• Review and develop a suite of document templates e.g. HR forms, letter templates etc. Ensure these are accessible to the team and ensure they are kept up to date and in line with contractual and statutory requirements.
• Maintain a filing system to ensure documents and information are retained and easy to locate.
• As required, to design and deliver briefing and training sessions for Managers and staff to cover policy implementation, legislative changes etc.
• To establish, maintain and develop effective working relationships with internal and external clients and partners.
• To work proactively, monitoring HR processes and procedures, instigating appropriate action and implementation as necessary.
• General administration
• Participating in staff meetings and development sessions as required.

Person Specification:
The successful person must be results focused, have strong organisational and communication skills, and have a passion to work with clients to help grow the business.

Essential:
Experience
• Minimum of 2 years, recent HR generalist experience within a fast paced, dynamic, customer focused environment
• Sound knowledge of employment legislation in NI
• Experience of end to end recruitment, providing HR advice on ER issues, developing and implementing policies and procedures
• Experience of maintaining HR databases
Qualifications
• 3rd level qualification, preferably in a business-related subject, essential
• CIPD qualified, Associate level.

Skills & Abilities

• A pro-active and flexible approach to work with the ability to work with changing demands and priorities.
• Ability to plan and prioritize workload of self and good time management skills.
• High level of attention to detail and accuracy.
• An ability to communicate effectively both verbally and in writing.
• The ability to identify issues and resolve them in a timely manner.
• Good interpersonal and team working skills with a flexible and adaptable attitude to work.
• An ability to work and stay on top of deadlines whilst working in a busy office
• Self-starter, organised, excellent IT skills

Desirable:
• Experience of working in the Third sector

Responsibilities include working across multiple clients organising and running marketing campaigns over social media platforms (such as: Facebook, Twitter, LinkedIn, Instagram, TikTok and Snapchat). Typical responsibilities include:

Creating content, including text posts, video and images for use on social media

Promoting products, services and content over social media, in a way that is consistent with an organisation’s brand and social media strategy

Scheduling social media posts using applications such as Hootsuite

Interacting with customers and dealing with customers’ enquiries

Developing new social media strategies and campaigns

Managing a budget to be spent on promoting social media posts and pay-per-click (PPC) advertising

Keeping track of data and analysing the performance of social media campaigns

Collaborating with colleagues from across marketing departments to ensure branding is consistent

Meeting with clients and other stakeholders (such as social media influencers). These meetings may involve pitching potential marketing campaigns.

Conal joined the team in June 2020, coming from Queen's Management School through the school's Marketing MSc Placement Office programme.

Since then, Conal has come from an internship basis through to a Full-time role, now managing VIable's Social Media, Marketing and Communications channels.

Conal also supports a wide range of clients across Northern Ireland and beyond, providing expert advice on Social Media, Analytics and Reporting, Marketing Strategy and Brand Development.
