Last night Emily and I had the pleasure of attending the press night of 𝗔 𝗧𝗮𝗹𝗲 𝗼𝗳 𝗧𝘄𝗼 𝗖𝗶𝘁𝗶𝗲𝘀 at the The Marlowe Theatre, thanks to our business membership and a kind invitation from Matthew Clarke & Grace Hart.

What a fantastic evening.

A gripping, moving and at times funny but especially brilliantly performed show.
Genuinely one of the best plays I've seen in years. Even more impressive when you discover this is a Marlowe Theatre production, created here in Kent before heading out on a national tour.

Of course, Dickens wrote the famous line:
"𝘐𝘵 𝘸𝘢𝘴 𝘵𝘩𝘦 𝘣𝘦𝘴𝘵 𝘰𝘧 𝘵𝘪𝘮𝘦𝘴, 𝘪𝘵 𝘸𝘢𝘴 𝘵𝘩𝘦 𝘸𝘰𝘳𝘴𝘵 𝘰𝘧 𝘵𝘪𝘮𝘦𝘴."

I reckon, if he were around today, he'd be on LinkedIn writing about AI.

Depending on which post you read, it's either the greatest productivity tool ever created or the beginning of civilisation's collapse.

Personally, I'm hoping it turns out to be "a far, far better thing" than many of us currently imagine. Perhaps some things never change.

Every major shift brings opportunity, uncertainty, excitement and fear in equal measure.

A huge thank you to everyone at the Marlowe Theatre for the invitation and congratulations to the cast, crew and production team on a wonderful show.

I didn't know the story, so was not prepared for it at all - genuinely fab.

One of the often-overlooked benefits of Marlowe business membership is opportunities like this. A chance to support local arts, entertain clients or spend time with family and enjoy exceptional productions right on our doorstep.

If you get the chance to see it, I highly recommend it.

Our annual charity garden party raising money for Pilgrims Hospices was a super day in the sunshine last month, eating cake and drinking delicious tea kindly supplied by Craig Bakes in Preston and Dan Rook of Chash The Fine Tea Company.

The lovely Leila Ilkhan puts in so much hard work raising money for the charity, it's always a pleasure to host this annual event.

Our grand total of £462.80 was raised from ticket sales and a raffle while getting together for a bit of casual networking 😁

𝗔𝗿𝗲 𝘁𝗵𝗲𝘀𝗲 𝘁𝗵𝗲 𝘁𝗵𝗿𝗲𝗲 𝘁𝗵𝗶𝗻𝗴𝘀 𝘆𝗼𝘂 𝗮𝗿𝗲 𝗽𝗮𝘆𝗶𝗻𝗴 𝗳𝗼𝗿 𝘁𝘄𝗶𝗰𝗲?

Imagine doing your weekly shop & buying three tins of the same soup. Every week for years, I'm sure you would notice and that you would stop.

Now look at your IT invoice. The odds are you are doing exactly the same & have never noticed, because nobody ever sits down & reads it with you.

Nearly every setup I have look at in recent months is quietly paying for things it does not use. You need to watch for software licences for people who left in 2021. Two products that do the same job, bought at different times by different people. A subscription that renews every year that nobody has opened since it was set up.

It all just ticks along on the invoice, month after month, because cancelling it is somebody's job & that somebody is nobody.

The part that frustrates me is that your current provider could find this for you in an afternoon. It is not hard.

This is not seen as an MSP problem, but rather it is very much your problem and of course, it is your money, walking out the door for nothing.

So, a question worth asking. When did anyone last go through your IT invoice line by line & tell you, in plain English, what every single thing is for & whether you actually use it?

If the honest answer is never, then I bet you can win future money by cancelling something.

I quite enjoy this bit of the job, funnily enough as finding a business a saving feels a lot better than sending them an invoice.

𝐓𝐡𝐞 𝐀𝐈 𝐢𝐬 𝐡𝐮𝐧𝐠𝐫𝐲. 𝐌𝐢𝐧𝐝 𝐰𝐡𝐚𝐭 𝐲𝐨𝐮 𝐟𝐞𝐞𝐝 𝐢𝐭.

When I wrote this, it was before the news of rogue AI, but though it seems a bit futuristic to many, somewhere in your business, right now, someone is pasting your 𝐜𝐨𝐦𝐩𝐚𝐧𝐲 𝐢𝐧𝐟𝐨𝐫𝐦𝐚𝐭𝐢𝐨𝐧 into a 𝚏̲𝚛̲𝚎̲𝚎̲ AI tool and it will cause an issue one day.

No doubt, it's not to be sneaky. Just to get a job done a bit quicker. A quote, a customer list, a chunk of a contract, straight into the box.

I am not going to tell you AI is bad. It is brilliant. Used properly it will save your people real time, I love it.

This is not a scare story. It is a "look before you leap" story.

Most of these free tools are perfectly happy to keep whatever you feed them. Once your customer data or your prices are in there, they are not really yours any more. You cannot un-send it.

The daft thing is, the fix is not "ban AI". The fix is deciding, once, what is safe to put in & what absolutely is not, then telling your team in plain English. That is an afternoon of thinking that saves you a very bad day later.

Nobody in a small business has time to become an AI expert. You shouldn't have to. You just need someone to help you use the good stuff safely, without the horror stories & without the hype.

So, an honest question. Does anyone in your business actually know what is safe to feed an AI tool & what's not? If the answer is a shrug, that is worth half an hour of my time & yours.

I would far rather help you use AI well than watch you either miss out on it or get burned by it.

"We’ve got backups"... but have you tested them?

A cheerful thought. A man jumps out of a plane, grinning, thumbs up, full of confidence. He has a backpack on. He has never once checked what is inside it. Turns out it is a picnic blanket & a rubber duck.

That is most business backup test. Nobody looks inside until the day they really, really need to.

"We've got backups" might be the most comforting sentence in business. It is also the least tested. Having a backup & being able to get your business running again by Tuesday are two completely different things. One is a tick in a box. The other is your livelihood.

I have lost count of the setups where the backup was quietly failing for months & nobody knew, because nobody ever tried to bring it back. It ran every night. The little report said it was done. Then the day came, someone pressed the button & nothing useful came back.

Backups are boring, right up until 4pm on the worst day of your year. That is a terrible moment to find out yours is a picnic blanket. Testing backups ensures business continuity.

So, a simple question. When did anyone last prove your backup works by actually restoring it, not just telling you it is running? If you do not know, please do not wait for the worst day to find out.

Hidden Costs and Risks Lurking in Old IT Equipment in the cupboard nobody opens.

Every business has one. The cupboard, the cabinet, the corner of the server room nobody has opened since about 2015. Out of sight, out of mind. It could be costing your business money aswell as being an IT security risk.

I opened one recently at a business we were visiting. Behind the door was a little museum. Old servers, a dead phone system, bits of kit retired years ago. Cobwebs. A very comfortable spider. All of it still plugged in, still humming, still drawing power.

Two problems with a cupboard like that - it is quietly running up your electricity costs for no reason. Worse, every one of those forgotten boxes is a little open door for someone who should not be getting in. Old kit does not get updated. Nobody is watching it. It just sits there, gathering dust & holding the door to your security ajar.

The owner had no idea. Why would they? It is not their job to know what is humming away in a cupboard. It is meant to be someone else's.

So, a fair question. When did anyone last open your cabinet, look at what is really in there & tell you what is running, what is costing you & what is a risk? If the answer is a shrug, then I recommend a tech health check.

None of this is about blame. It is about somebody actually looking. That is the whole job.

The firewall that was fast asleep.

Picture a big guard dog. Collar on, little cap on, sat right by the front gate. Looks the part.

Now picture it fast asleep while a burglar strolls straight past it. The guard dog isn't doing his job!

That is a lot of small business firewall security issues and most owners have no idea.

I recently looked at a firm not far from here. On paper they were fine. They had a firewall. They had paid for it for three years, a proper line on the invoice every month, no complaints.

But it had never been set up. It was switched on, plugged in, lights blinking away, doing next to nothing.

They only found out the day someone tried the gate.

A firewall you pay for & a firewall that is doing its job are two very different things. One shows up on your invoice. The other keeps your business out of the papers. Nobody checks which one they have, because the invoice looks the same either way.

So, an honest question for any business owner reading this. When did anyone last prove your firewall is actually working, rather than just charge you for it? Not promise. Prove.

If you cannot remember, that is not a criticism of you. It is a common security gap that five minutes of conversation can start to close.

If there’s an Excel file in your business called 𝗽@𝟱𝟱𝘄𝟬𝗿𝗗.𝘅𝗹𝘀𝘅 or anything similar, then read on....

𝘔𝘰𝘴𝘵 breaches don’t start with elite hackers.
They start with something boring. An Excel spreadsheet.

I still see files called things like "[email protected]" sitting on business systems and the owners don’t see them as a risk at all.

Here is one we dealt with in recent weeks.

The business had MFA switched on.
They genuinely believed they had the basics in place.
But for speed, 𝘁𝗵𝗲𝘆 𝗸𝗲𝗽𝘁 𝗲𝘃𝗲𝗿𝘆 𝗽𝗮𝘀𝘀𝘄𝗼𝗿𝗱 𝗶𝗻 𝘁𝗵𝗲 𝗰𝗼𝗺𝗽𝗮𝗻𝘆 in one spreadsheet. Every system, every portal, every login and even user machines.

Then a trusted supplier’s email account was compromised.
Software was sent. Installation was approved. Hidden inside was a remote access tool.

Once attackers are in, they don’t guess passwords. They search for them because obviously attackers wouldn’t think to search inside files for words like “𝘶𝘴𝘦𝘳𝘯𝘢𝘮𝘦”, “𝘭𝘰𝘨𝘪𝘯” or “𝘢𝘥𝘮𝘪𝘯”…

They also know exactly which filenames to look for.
MFA does not help if your credentials are already written down and stored where attackers can read them, in spreadsheets, browsers, notebooks, phones, or personal accounts, they are already exposed.

This is why we push proper password management.
Not because it is exciting. Because it works and it costs a fraction of what comes after a breach:

• disruption
• recovery
• weeks of stress
• reputational damage

If there is 𝗮𝗻𝘆 file in your business that contains passwords, whatever it is called, it's one of your biggest risks.

𝗧𝗵𝗲 𝗴𝗼𝗼𝗱 𝗻𝗲𝘄𝘀?
It is fixable.

A good password manager removes the need for risky spreadsheets and closes off one of the most common gaps we see. We recommend NordPass, but your IT provider should be offering something that genuinely eliminates this risk.

Who kept their telex machine into the 90s?
Who held onto the fax machine “just in case”?

Now be honest…

𝗔𝗿𝗲 𝘆𝗼𝘂 𝗿𝘂𝗻𝗻𝗶𝗻𝗴 𝘆𝗼𝘂𝗿 𝗯𝘂𝘀𝗶𝗻𝗲𝘀𝘀... 𝗼𝗿 𝗯𝗮𝗯𝘆𝘀𝗶𝘁𝘁𝗶𝗻𝗴 𝘆𝗼𝘂𝗿 𝘁𝗲𝗰𝗵 𝗲𝘃𝗲𝗿𝘆 𝘄𝗲𝗲𝗸?

If you’ve ever started the day full of good intentions… and ended up doing the IT version of pushing a screaming technology pram (emails not sending, Teams being “fun”, passwords, updates, printers having a tantrum)… you’re not alone.
