Reports To: Operations Manager
Location: St Asaph (maybe occasionally required to work in other locations)

Role Overview
The Administrator plays a central role in supporting Matom’s operational efficiency, compliance, and financial administration. This position combines hands-on bookkeeping and administrative duties with support sales, marketing and operations.
Key Responsibilities
Bookkeeping & Finance
• Manage daily bookkeeping, invoicing, and bank reconciliations
• Support payroll processing, expense tracking, and financial reporting
• Liaise with external accountants and financial advisors
• Prepare monthly, quarterly, and annual financial reports.
• Generate quotes and issue invoices in line with company policies.
• Monitor cash flow, reconcile accounts, and support audits
Sales and Marketing Support
• Maintain & develop marketing materials
• Support sales and marketing activities
• Organise conference attendance
• Organise client site visits
Contract & Project Support
• Assist with administration of contracts
• Manage project documentation and approval workflows
• Ensure adherence to company quality control procedures by project teams and subcontractors
Business Support & Administration
• Provide administrative support across business units
• Customer support
• Stock control
• Import export management
• Maintain accurate records, registers, and project documentation
• Assist directors and managers with planning, reporting, and compliance tasks
• Any other reasonable duties requested by Management
Skills & Experience Requirements
• Proven experience in bookkeeping within an SME environment
• Proficient in Microsoft Office and business software
• Familiarity with ISO management systems (9001, 14001, 45001)
• Experience in quality control and compliance procedures
• Strong organisational and communication skills
• Ability to manage multiple tasks independently
• Knowledge of NEC contracts (desirable; training provided)
Qualifications
• AAT or equivalent bookkeeping qualification (preferred)
• ISO/QHSE training or certification (advantageous)

Additional Notes
• This role may require occasional travel to project sites or external meetings
