When something goes wrong on your computer, the useful error message can disappear as soon as you click OK.

Before closing it, take a screenshot or a clear photograph and note what you were doing. Include which program you were using, approximately when it happened and whether anyone else was affected.

That small amount of information can help your IT support team distinguish a one-off problem from a wider issue and begin diagnosing it more quickly.

If the error appears while processing a payment or updating important data, pause before repeatedly trying again.

Next time something looks wrong, capture it before it disappears.

How many versions of the same document are sitting in your team’s inboxes?

Sending a Microsoft 365 sharing link instead of another attachment keeps everyone working from one current file. Changes stay together, colleagues can collaborate more easily, and you avoid filenames such as Proposal-FINAL-v3-revised.docx.

Before sharing, check who genuinely needs access and whether they should be able to edit or only view the document. Avoid using unrestricted links for confidential information.

One shared file can make teamwork much clearer—provided the permissions are right.

Need help organising secure file sharing for your team? Speak to SME IT Solutions.

By default, a Microsoft account will accept a login attempt from anywhere in the world.

Most attacks on Microsoft accounts come from overseas, from automated tools trying stolen passwords by the thousand. If your business only works in one or two countries, there's no reason to allow a login from anywhere else.

There's a setting in Microsoft 365 called Conditional Access that lets you block any login from outside the countries you operate in. Someone trying your password from the other side of the world is turned away, even if the password is right.

It won't stop everything, and a determined attacker can route through your country to get past it. But it blocks the flood of automated attempts from places you'll never deal with, and that's most of what you're up against.

You'll need the right Microsoft plan, and it's set up in the admin area, so ask your IT provider to turn it on and set the countries you work in.

Good IT support shouldn’t feel distant just because many problems can be solved remotely.

For businesses across Eastbourne and East Sussex, the best approach is often a mixture: fast remote help for everyday issues, planned on-site visits when hands-on attention is needed, and familiar people who understand how your business works.

At SME IT Solutions, we’re local enough to visit and equipped to resolve many problems without making your team wait.

If your current IT support feels anonymous or only appears when something breaks, perhaps it’s time for a conversation.

An unexpected Microsoft 365 sign-in approval appears on your phone. What should you do?

If you aren’t signing in, don’t approve it—even if the prompt keeps returning. Deny or report the request, then contact your IT support team using details you already know.

An unexpected prompt may mean someone is attempting to access your account. Your IT team can check the sign-in activity and decide whether your password or active sessions need attention.

Multi-factor authentication is an important safeguard, but every approval is still a security decision.

Please share this simple rule with colleagues: if you didn’t start the sign-in, don’t approve it.

When you log into a new tool with your Google account instead of making a fresh password, you're tying that tool to your Google login. Do it enough times and one account controls all of them.

It's quick, so most people click it without thinking.

The trouble starts if someone gets into that Google account. They get your email, and every app you logged into with it, in one go.

Google itself is a risk here too. If it ever suspends or locks your account, you can lose all those apps at once, and getting a Google account back is famously hard.

So for anything your business relies on, give it its own login and password, with two-factor turned on.

And put strong security on the Google account itself, since so much now runs through it.

Everyone's downloading AI tools at the moment, and scammers have caught on.

Say someone on your team wants to try a new AI app. They search for it, click the top result, and end up on a page that looks like the real company's site. They download the app. It's fake, and it steals every password saved on their computer.

The fake sites are hard to spot because they copy the real ones closely, and the link is often an ad shown above the real website in the results.

Security firms have reported a lot more of this over the past year.

Only download software by going to the company's real website yourself, not by clicking an ad or a search result. If a page asks you to install something and you're not sure it's real, don't. And it helps to agree as a team on which AI tools you use, so people aren't installing unknown ones to try them out.

Does your team share the password for accounts@, sales@ or info@?

There’s a better way. A Microsoft 365 shared mailbox lets authorised colleagues open the same business inbox from their own accounts, respond using the shared address and keep work together—without passing around one password.

It makes access easier to manage when responsibilities change and gives everyone a clearer view of which messages still need attention.

A small improvement, but one that can make everyday communication simpler and more professional.

Not sure whether your shared inboxes are configured properly? SME IT Solutions can take a look.
