As a Receptionist and Office Coordinator, you’ll be the charming, confident face behind the reception desk, the first point of contact between guests and the corporate office. You will possess a clear, considerate telephone manner, exceptional organisation skills, and IT conversance. Naturally, you will bring with your excellent interpersonal skills and be a team player.
This role requires excellent organisational and time management skills, with the ability to oversee the smooth and professional running of the Head Office, including manning the reception, the switchboard, and all facilities relating to the use of meeting rooms. The candidate will also be responsible for stock level maintenance and cost control of office supplies and services. A high level of the English language both written and spoken is essential with excellent communication skills.
Duties:
• Welcoming and being the first point of contact for all visitors to the corporate office, including offering refreshments and contacting the relevant Team Member when a visitor has arrived.
• Ensuring all meeting rooms are tidy and well presented at all times, ensuring the relevant equipment is set up (AV, flipcharts etc)
• Organise catering for meetings as required
• Assist with organising Team Events / Socials / Charity Events
• Liaising with management agents and miscellaneous service providers, including reporting any faults, defects or maintenance issues.
• Checking of invoices received relating to office costs - confirm accuracy – raise queries with suppliers when necessary and chase and obtain credits if incorrect charges applied
• Monitoring and ordering branded stationery supplies
• Answer and screen incoming telephone calls and direct them to the appropriate Team Member or take accurate messages to pass on to them.
• Responsible for archiving and shredding collection
• Distributing incoming post and deliveries and organising franking of the outgoing post.
• Booking and logging of couriers and taxis.
• Monitoring and dealing with general enquiry e-mails
• Regularly updating movements and contact information
• Assist with office H&S requirements
• Provide general and secretarial support as needed, including assisting with the creation, production, and updating of forms, documents, spreadsheets, databases, brochures, and mailouts.
