Is there anyone out there?

My FEED IS QUIET, but my BUSINESS ISN'T! In fact, it's nearly been a year since I officially started out as Maddison Broom Virtual Assistant Services and my diary is almost full. Plus, I'm working with inspiring business owners (locally and virtually).

The goal for me has always been work-life integration; my business and my personal life to exist happily side by side, mixing together, overlapping. I'm definitely not there just yet, it's a juggle. I'll try to check in a little more frequently and let you know how I'm trying to achieve that.

No time to keep up relationships with customers?

I use automated customer contacts (usually emails) to give businesses better visibility of what their customer has been doing and to help build their relationships.

How can it benefit me?

When your business is growing, there isn't always the time to contact your customers as frequently, and to know them as well.

How much of your day do you plan meetings or tasks for? Do you plan in time for lunch?

⌚️The average employee (or small business owner) is productive (actually focused and completing tasks) for around 60% of their day.

📞Distractions (emails, phone calls, questions from colleagues) come every 3 minutes and 5 seconds and can take 23 minutes to get back into the zone of what you were working on.

📈So achieving 75% productivity - allowing 25% for breaks, admin, distractions, interruptions…without risking burnout - is a great goal.

🙃Yet, most people will plan in 8 hours work for an 8 hour day!? When you've got a lot to do, it's easy to plan in more that you can achieve (and you usually know that when you're planning too).

I'll share part two soon, with some ideas on how to avoid playing catch up at the end of the day and to take back control of your diary.

Do your thing!

Life is too short to spend your time doing things you don't like doing. Now, I appreciate we don't all, always, have the luxury of doing just what you like, or are good at, when you want to do it.

But, if you are able to choose to do things you enjoy and delegate some of the other stuff to someone else, then why wouldn't you?

🌱I thrive on variety, on making a difference and adding value to peoples businesses.

✍️I have original ideas, I am logical, I think through the whole process and ask lots of questions to make sure I understand from start to finish.

💚I love to consider how other people might view what you do, or a launch of a product to make sure we market it in the best way possible.

I've been quiet on my own Social Media recently. I'm really busy with work (which is great), and our new bathroom is underway (finally) and the toddler has new teeth coming 😬

So, when I've had time to spare, I've been relaxing and trying to make time for renewal.

When you're super busy, your gut instinct can be to work harder and faster - to try to get more done.

But, when you are already doing as much as you can, it can push you over the edge from survival mode into burnout.

This can look different for different people; lacking creativity and inspiration, feeling blah and numb, physical exhaustion, doing more but achieving less, being anxious, emotional outbursts and irritability...

When you're swamped (at work and/or in your life in general), overwhelmed by the need to 'catch up', and feeling the start of your own burnout symptoms, take time to do what you enjoy and will refuel your energy. Don't skip lunch to work more, take lunch and come back more productive.

If you read this and think 'Yeah, those people aren't as busy as me, I don't have time for lunch' - this applies to you too.

Almost 10,000 people!

This might seem boring to some people, but I’m really proud of the organic (not achieved with paid advertising) reach and engagement this page achieves.

I started it from scratch a few years ago, and now the posts I create reach almost 10,000 people in a month.

This is actually a page I do as a volunteer, so I think it shows how with a few hours a month and some simple social media planning you can get your business in front of A LOT of people.

I avoid things like ‘follow for follows’ and requesting everyone you know to like your page - so these are people genuinely interested in your business.

What if...

You finished work for the week at a sensible time and switched off, knowing you'd made progress towards your goals and ticked off your to-dos. You enjoyed your time to yourself and looked forward to the start of the week, because you get to do the things you love, and are great at, and you have the time freedom to follow up on new ideas. You didn't have to work long hours, always remembering something you've forgotten to do, and you had a perfect balance of time spent working and living your life. You make big plans for next year, and know you're a successful business owner, achieving what you set out to.

That's the dream, right?

I can take the every-day tasks or the one off projects, the things you can't or don't like to do. I can free up you time so you can focus on the things you love doing. And the things ONLY you can do.

You can't be everything to everyone, and do it all, all the time. It isn't achievable and you'll burnout in the process....

You can't be everything to everyone, and do it all, all the time. It isn't achievable and you'll burnout in the process.

Why?
It feels like, as a small business owner, you have to do what your customers want because they're so valuable to you, but you won't be able to give your best service if you spread yourself too thin.

What should I do instead?
🤳Only make yourself available on a couple of channels - maybe ask your clients or customers which ones suit them. Make it easy to do, with links to your website in your bio, or links in stories. Use buttons on your social media pages to direct people quickly to your chosen channels of communication.

👉Do the things ONLY you can do, or which you do best - the reason you started your business. Leave whatever else you can, to someone else. Spend your time wisely growing your business.

🤸And never wait until you're 'ready' - your business will always change and nothing is ever perfect. You'll put it off and never do it. Start now!

What I've been working on (and why)...

🌞Summer promo email campaign - email subscribers are really valuable for a business - they've usually shopped with you before, a well written email can have a great conversion rate and it's excellent brand awareness as well. A promo or lead magnet can help to grow this list.

✍️Website audit - I have been reviewing each page of a clients website - for functionality issues, checking links work, image quality, content errors, continuity issues and more. This can then be used as a hit-list for changes to be made. It's hard to be impartial when it's your own page.

😍 Canva templates - I use Canva Pro every day - for my own business, my volunteer roles and for my clients. It's so important to create posts which look like your brand. People should see a post a know it's you. And images make a big difference to how memorable your post is, and the level of engagement it gets.

📌Content pillars - these are the 'pots' your posts fall into. It's important to have a theme and a plan for your social media content, so it doesn't just appear unorganised, last minute and without purpose. This is part of the preparation I'd do before launching or taking over a new social media profile.

📅Marketing plans - working with small businesses means we don't always have a full 'Marketing Strategy' but we do plan what current and future goals are, how we can achieve these, prepare resources, content, contact press and come up with ideas for these to make sure we are prepared when we get there.

Stop. Start. Continue.

✨Wouldn't it be great to only do things you could see the direct benefit from? ✨Don't just do things because you always have. If a task or the way you're doing something is no longer working for you then STOP.

This is a really great technique to help refocus and highlight legacy tasks you just do or things you're missing.

Step 1 - Sit down (by yourself of with your team) and write down all the things you do - one per post-it (yes, you'll have to stop frantically trying to tick things off your to-do list temporarily).

Step 2 - Create a Stop, a Start and a Continue pile.

Step 3 - Ask your self why you do each item - how does it help your business grow and reach it's goals? (Top tip - imagine you're a toddler, don't stop at one why).

If you don't know why you're doing it, then it's got to go, or change at least.

Send me a message if there are things on your Continue or Start lists which need doing, but are not a good use of your time. Or if you need me to facilitate doing this exercise?
