Most bookkeeping errors are not the result of negligence. If your credit control process runs entirely on email, you are making it significantly easier for clients to delay payment than it needs to be.

Email is the path of least resistance in credit control, for the person sending it and, critically, for the person receiving it. An automated payment reminder requires nothing. It can be read, acknowledged internally, and set aside without a response. A phone call cannot.

A professional and direct call, made no later than fourteen days after an invoice is overdue, tells you more in four minutes than a month of unanswered emails. It identifies immediately whether you are dealing with a slow payer who needs a nudge or a genuine dispute that requires a different response entirely. It creates personal accountability. And it signals, without requiring a legal document, that you are taking the outstanding balance seriously.

Four minutes on the phone. That is genuinely all it takes to find out whether your client forgot, is stalling, or has a problem worth knowing about. These are all three very different situations that all look identical in an unanswered inbox.
