Confession time.

I spotted this in a charity shop on Sunday and had to buy it:

(a bonus that it was pink!)

Have I started it yet?

➡️ I just need to get sh*t done so I can find the time to read the book about getting sh*t done.😆

It made me smile because it's what I hear from business owners.

"I need to sort it, but I am just too busy."

But the receipts pile up. The invoices go out late. The good intentions sit on the side looking pretty, a bit like a pink hardback on my kitchen table.

One big catch-up never works.

👉15 minutes a day does.

👉So does outsourcing the bookkeeping and admin.

👉 and booking a regular accountability/query meeting to push your books to another level of tidy.

I will feed back.

Whilst I'm a very organised bookkeeper, I'm also a very busy mum, and it's time to create new daily habits - my workouts, creating a meal plan, and reading for 30 minutes a day.

Organisation isn't just admin. It's profit.

Tidy books do more than keeping HMRC happy. When you are up to date, you can:

→ Spot errors before they cost money.
→ See rising costs early, and what they mean for future profit.
→ Know which products or services are making you money.
→ Catch overspending as it happens.
→ Decide whether you can really afford that next purchase or employee.

None of that works when the bookkeeping is done once a year in a panic. It works when it's done regularly and reviewed properly.

Is your business email heavy?

As well as keeping your bank transactions separate, how about keeping your finance related emails separate, too, and gain an accounts department?

Quite a few of our clients don't have time to wade through their emails, so they give us access to accounts@.

We frequently gather what we need without disturbing their day.

Whilst in there, with your permission, we can

Organise - remove the noise.
Action anything urgent.
Make clients aware of any overdues.
Download supplier statements and check that we've got everything.

I did a similar post back in August, but it's true when they say that time seriously flies.

We are flying through 25-26 tax returns!
MTD round two is nearly here.
Payrolls, VAT, general enquiries...
add being a mum into the mix....
and trying to focus on my own well-being...

Blink, and you are at the end of September!

September was about adjustment!
Back to college for the teens - new courses, timetables and train timetables.

New jobs, too! both helping the family biz, on their days off.

We've restructured and changed systems. I've reduced my hours slightly and returned to being 100% client-facing. I really missed the regular conversations.

We've taken on 2 big new projects/roles, which have been incorporated into the week.

Around this, we are nurturing our existing clients, so socials fell off my to-do list.

You don't have the knowledge and skills - and wouldn't risk a disaster.

It would cost a lot to put right, and even though it's considered an emergency, there might not be a professional available to correct it before the big day.

It's the same with bookkeeping.

It feels easy!

You follow the YouTube videos / ask Claude...

But we still see duplicates, miscodes, incorrect tax treatment, and wrong VAT codes.

Often, the bank has not been properly reconciled, and the balance sheet has never been checked.

These problems can cost a business more money.

Receipts are evidence.

If HMRC took a look, they need to clearly see that the transactions are legitimately business related, especially if they are reducing your tax/VAT bill.

It's much easier to do this as you go along - a receipt capture software on the move is a game changer.

If you are claiming mileage or work from home hours, detailed logs are needed, linking back to the work you have done or meetings attended.

If you are travelling or entertaining staff or clients, keep a log of where you were going and why, and who was with you.

This seems very long-winded, but it backs up your claim, but anything that backs up your claim is worth it!

As your bookkeeper, we ask for the paperwork on a regular basis, whilst it's fresh in your mind.

If you use software, such as Xero, a copy of your receipt is attached to the transaction.

We want to keep you compliant and protect you as a business owner.
