School Ready Sunday 📋

Half term is about a week away. If there's work you want done while the building's empty, this is the week to get it booked.

Contractors fill up fast for half term because every school wants the same five days. Leave it till the Friday before and you'll be lucky to get anyone.

A quick plan for this week:
1️⃣ Walk the site and list anything that needs doing
2️⃣ Pull out any open items from your latest inspection reports
3️⃣ Get quotes in early in the week
4️⃣ Confirm dates, access and keyholding before the holiday starts

Not every transformation is straightforward! 🛠️

Restoring the Trans Pennine Trail Steps – Oxspring Parish Council

Some jobs look simple on paper. Replace rotten timber posts and handrails, renew the anti-slip mesh on the steps, and leave everything safe and ready for use.

But this one came with a few challenges!

📍 A steep, awkward location with difficult access.

🚶 A busy public footpath with pedestrians passing throughout the day.

🔨 Working on an existing staircase where ground conditions and the slope made every stage more demanding.

And then there was the unexpected...

Despite fencing off the steps and putting safety measures in place, we returned to discover that someone had forcibly removed the fencing and pulled newly installed posts out of position overnight, before the concrete had fully cured.

Not exactly the start to the day we'd planned!

But that's the reality of working in public spaces. Things don't always go to plan, and it's how you respond that matters.

Our team tackled the challenges, working to restore the timber handrails and renew the anti-slip surfaces on the existing sleeper steps, using pressure-treated, FSC-certified timber.

Because transforming spaces isn't always about the big, impressive projects. Sometimes it's about making the everyday places people rely on safer, more accessible and fit for purpose.

And that's something worth taking pride in.

Tuesday Tip: Anti-Slavery Day is this Sunday (18 Oct).

If you contract out cleaning or grounds maintenance, it's worth asking your supplier a few simple questions:

✔ Who will actually be working on our site, and are they employed by you?
✔ How do you do right-to-work checks, including for cover staff?
✔ Are workers paid at least the legal minimum, into their own bank account, with payslips?
✔ If you use a labour provider, how do you vet them?
✔ Can your staff raise a concern confidentially, and what happens when they do?

Most good suppliers will be glad you asked. If the answers are vague, or you can't get them in writing, that tells you something too.

A few questions at contract review time is a simple, practical step to make sure the people looking after your site are treated fairly.

Well Worn Wednesday 🔧

October half term is a couple of weeks away. It's one of the few chances this term to fix things on the playground with no children on site, and every school wants the same week.

What to look for on a quick walk-round this week:

⚠ Play equipment: splitting or soft timber at ground level, rust at bolts and welds, loose fixings, frayed ropes, worn chains

⚠ Safety surfacing: lifting rubber tiles, cracked wetpour under swings and slides, muga surfacing old and loose, bark kicked away

⚠ Fencing: leaning posts, rust at the base, gaps at the bottom, broken gate closers and latches

⚠ Hard surfaces: potholes, lifting tarmac, trip edges and puddles that never drain

Note it, photograph it and get it quoted now. Leave it until the week before and you'll be competing with every other school for a contractor.

Left alone, small wear turns into taped-off play areas, awkward questions after an accident and a much bigger bill.

Takeover Tuesday 👋

Behind every clean classroom, tidy playground and fixed door is someone who turned up promptly and got it done before anyone else arrived or after everyone else finished.

Our team work across schools, academies and care homes all over Yorkshire, and most of what they do happens quietly, before the doors open or after everyone's gone home. That's how it should be. When we do our job well, you shouldn't notice we've been.

This week we're shining a light on Parveen, one of our lovely cleaners. Parveen helps keep the school clean, safe and welcoming for pupils and staff, and loves knowing that her work makes a difference to the children's (and her daughter's) day.

Fact Friday:
Did you know a fire risk assessment isn't a one-and-done job?
For most non-domestic premises it needs reviewing regularly, and always after any change to the building, its use, or its occupants. If yours has been sitting in a drawer since it was written, that's a good sign it's due another look.

Brilliant idea from Greenotes and the Pen*stone Area Team. Our grounds team knows how much a bit of first aid know-how matters when you're out with tools and strimmers, so this is a great one for the volunteers keeping our villages looking smart. Hope it fills up!

𝗧𝘂𝗲𝘀𝗱𝗮𝘆 𝗧𝗶𝗽: as the heating goes back on this week, watch for condensation building on cold surfaces - windows, external walls, poorly ventilated store rooms. Left unchecked it turns into damp and mould fast, and on a school or care site that's a compliance headache as well as a health one.

Quick fix: check trickle vents aren't painted shut, keep extractor fans running, and get any early damp patches looked at before half term.

National Badger Day (6 Oct). Badger setts are a protected species issue - and something premises managers need to think about before any ground works begin.

𝗪𝗵𝗮𝘁 𝘆𝗼𝘂 𝗻𝗲𝗲𝗱 𝘁𝗼 𝗸𝗻𝗼𝘄 𝗯𝗲𝗳𝗼𝗿𝗲 𝘆𝗼𝘂 𝗱𝗶𝗴 🦡
1. Badgers and their setts are protected by law. It can be an offence to damage, destroy, obstruct or disturb an occupied sett.

2. Check before ground works start. Look for sett entrances, freshly excavated soil, well-used paths, footprints and latrines.

3. Don’t assume an entrance is unused. A quiet-looking hole may still form part of an active sett.

4. Think beyond the excavation itself. Machinery, vibration, access routes, storage of materials and vegetation clearance can all affect a sett.

5. Stop if you discover one unexpectedly. Don’t investigate it by digging or blocking the entrance; get appropriate ecological advice before continuing.

6. Licensing may be required. Where works could interfere with a badger sett, professional advice should be sought early enough to establish whether the work can proceed and whether a licence is needed.

For a premises manager, the simplest rule is: survey first, dig second. A five-minute check before the excavator arrives can prevent a much bigger problem once work has started.
