"Oh, I'm going to feel so much better when this is sorted." 🙏

I was on a call this week with a brilliant creative arts tutor whose business has grown so much since she left the classroom (which is amazing! 🎉). But while her student numbers were increasing, so was her financial anxiety. Something a lot of business owners experience at some point.

Her spreadsheets had gone from "manageable to... it's a lot". She confessed that she was spending "so much time" just trying to keep on top of everything.

She told me, "numbers are not my thing" and admitted she was "terrified of like making a big mistake accidentally". As we started setting her up on Xero and she saw her transactions neatly organised for the first time, she let out this huge sigh and said the magic words: "I'm going to feel so much better when this is sorted.".

And that's it, isn't it? That feeling of relief is the goal. You are phenomenal educators, not accountants or bookkeepers. And that's totally fine.

Outgrowing your old systems is a side effect of your success, not a sign that you're failing. It’s about having a simple system that gives you peace of mind so you can get back to the parts of your business you actually love. It's about wanting to be in control, rather than just keeping your "fingers crossed that it's happening correctly" in the background.

Disbursements and recharges are common in the education and child classes sector. Think exam fees, dance costumes, music books, or trip payments you collect on behalf of parents.

But do you know how these could impact your VAT position?

If you're not careful, what looks like a simple reimbursement could be treated as income and push you closer to the £90k VAT threshold, or worse, trigger a VAT bill you weren’t expecting.

🔹 A disbursement is when you’re just passing on the cost — exactly what you paid, clearly listed, no VAT added, and doesn’t count towards your turnover.

🔹 A recharge is when you mark it up or bundle it into your service — VAT may apply and it can count as taxable income.

Dance classes invoicing for costumes, tutors collecting exam fees, or clubs charging parents for day trips. If you're not sure how to treat those costs, it's time to double-check.

The wrong treatment could mean paying tax on money that isn’t really yours.

Exam season is here… and let’s be honest, your finances are probably somewhere near the bottom of the to-do pile right now.

Between planning lessons, juggling timetables, and squeezing in extra sessions, bookkeeping and tax are likely the last things on your mind. But then comes that quiet moment before bed… and you’re lying there thinking, “How much tax am I going to owe this year?”

Are you considering gifting your tutees an Easter egg and wondering if it's tax deductible? Generally, HMRC considers gifts to clients as entertainment expenses, which are not tax deductible.

However, if you incorporate the chocolate into your lesson plan—such as using it to teach concepts like area, volume, or fractions—it could be classified as a teaching resource. In this context, the expense may be considered allowable.

Can you think of other ways of incorporating chocolate into your lesson? I must confess, a lot of my ideas surround maths (maths and chocolate, my two favourite topics!); however, I'm sure it could be incorporated into lots of other subjects.
