I hear “just hire a VA” constantly. And it makes me a little bit twitchy. Not because hiring a VA isn’t brilliant, it absolutely is.

But because it’s only brilliant when the timing and the clarity are right.

Before you bring a VA in, you need to know:

- What your business actually is and how it’s structured.
- What you’re offering and how that works.
- What support you genuinely need.
- And that you’re ready to hand things over with clear guidance on what needs doing.

A VA is there to support you. They’ll learn your business and become your second arm. But they need something solid to work with.
They need direction.
They need clarity.
They need you to know what you actually need from them.

What a lot of people think they need is a VA. What they actually need is ops support, someone to help them work out what’s going on, build the structure and then bring in the right support around it.

Get clear on what you need first. That’s what makes the relationship work properly.

Yes. Properly. Drag and drop, move things around, make it look exactly how you want it to look.

No more quietly stressing that a post landed in the wrong place. No more wishing you could shuffle things around. Just go in and sort it.

I know, I know. Being stressed about grid aesthetics is so 2000 and whatever. But we’re not talking about it. We just are who we are. 😂

Here’s how to do it:

> Press and hold on any post.
> A little pop up window appears.
> Click reorder your grid.
> Then drag and drop to your heart’s content.
Quick. Simple. Actually brilliant.

The to do list that lives in your brain at 11pm.

The process you’ve done a hundred times but never written down.

The onboarding that relies on you remembering what to send and when.

None of this has to live in your head. Here are four things you can do today to start changing that:

1. Write down the process you do every time a new client comes on board. Just once. Even if it’s messy. Get it out of your head and into a document so it exists somewhere other than your memory.

2. Create a template for the email you write from scratch every single time. Twenty minutes now saves you that twenty minutes every time you send it.

3. Pick one task you do manually every week and look up whether your existing tools can handle it automatically. You might already have everything you need.

4. Give everything a home. One folder, one system, one place where things actually live. If it takes more than thirty seconds to find something, it doesn’t have a proper home yet.

None of these are complicated. They’re just not in place yet for most people.

Something I find myself saying a lot to business owners at a certain stage of growth.

You don’t have a time problem. You have a structure problem.

I know that’s not what most people want to hear. Because time feels like the obvious answer. If you just had more hours. If you could just get through the list. If things could just slow down for five minutes.

But the hours aren’t coming. And even if they did, you’d fill them with the same things you’re filling them with now.

Because the issue isn’t how much time you have. It’s how much of that time is being consumed by things that shouldn’t need you at all. Decisions that should sit elsewhere. Tasks that should be automated. Processes that rely on you being the answer to every question when they really shouldn’t.

When the structure underneath is right, time starts to appear. Not because you suddenly have more of it but because the things that were quietly consuming it stop landing back with you.

This is the point where most business owners need more than a strategy session or an implementation project. They need someone working alongside them properly. Looking at the full picture. Removing the bottlenecks. Building the infrastructure that means the business can actually hold what they’re asking it to hold.

That’s what Embedded is. Not a project. Not a one off session. A proper operational partnership where I work alongside you long term to build the structure that gives you your time back.

Not the revenue. Not the clients. Not the growth.

The ability to just be somewhere that fills me up completely, with the people I love most, without my business falling apart behind me.

We made a big decision while we were there, we are finally taking the leap and moving to Cornwall. It’s gone from a dream to a plan and that feels enormous (& exciting!)

And the only reason it’s possible is because of how I’ve built what I’ve built. Intentionally. Around my life, not the other way around.

Twelve years of building something that works without me having to be available for every single part of it. Twelve years of making the right structural decisions so that I have the flexibility to take a long weekend, a birthday trip, a Friday off, without everything grinding to a halt.

That’s not luck. That’s just built properly.

If you’re still in the place where taking time away feels impossible, that’s worth paying attention to. Because it doesn’t have to feel that way forever.

All, don’t wait for ‘the right time’ it will never come. Just do the thing.. future you will thank you for it!

That’s what a good backend system actually does for you.

I’ve been using Dubsado for five years and I genuinely couldn’t run my business without it. Not because it does everything, but because it keeps all the plates spinning while I’m not looking.

Proposals go out automatically.
Contracts get signed.
Invoices land and get paid.
Appointments get booked.
