“I used to drown in email. My inbox was chaotic and stressful!” Sound familiar? That’s exactly what one of my clients was facing. Here’s how we turned it all around.
Meet Mark, a busy coach and consultant who came to me feeling overwhelmed by his cluttered inbox, there were so many emails it was becoming unbearable to even open it.
His productivity was suffering, and he knew something had to change.
Here’s what we did, using these 4 Key Rules:
Prioritise and Categorise:
Together, we created a system to categorise his emails into Urgent, Meeting Requests, and Reference folders. No more missing important emails or feeling buried under non-urgent tasks!
Time Block Your Schedule:
Instead of spending his day reacting to emails or dreading looking at them, we carved out a system for him to check his emails at a time that suited his diary. The rest of his time is now focused, uninterrupted work.
Use Automation and Reminders:
We automated email sorting and set up auto-responses for common requests, drastically reducing the time Mark spent on repetitive tasks. Reminders keep him on top of meetings and deadlines.
Review and Reflect: Each week, Mark now reviews his inbox, archiving what’s no longer relevant and reprioritising upcoming tasks. This has helped him to stay proactive instead of reactive.
The Result - Mark’s productivity and focus have increased, his stress levels dropped, and he’s no longer playing email catch-up!
