Job Description:
At Fair Deal Centre Limited, we owe our success to people and processes. The office assistant provides vital support for both, so we are currently seeking someone exceptional for this role. The ideal candidate will be a problem solver who has excellent communication skills and impeccable attention to detail. This person should have experience working in an office environment, performing administrative tasks, and providing support to co-workers. The ability to multitask, manage complex schedules, and meet changing deadlines is essential for the position.
Objective of this role:
Ensure optimal use of equipment, supplies, and inventories through preventive maintenance.
Maintain workflow by analyzing and refining standard operating procedures such as scheduling, communications, and office layout.
Coordinate internal and external resources for expediting workflows.
Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests.
Achieve organizational goals while adhering to best practices.
Responsibilities:
Office Coordination: keep the office organized, efficient, and running smoothly. From maintaining supplies to ensuring the workspace is welcoming, you’ll be at the heart of it all!
Administrative Support: Answering calls, responding to emails, and managing schedules for team members, ensuring communication flows seamlessly.
Team Collaboration: Assist with meeting coordination, document preparation, and maintaining organized records, all while being the go-to person for administrative tasks.
Mail and Communications: Handle incoming and outgoing mail, packages, and important documents with care and attention to detail.
Customer Service: Be the friendly face and voice of the office, offering a warm welcome to visitors and providing assistance as needed.
Qualifications:
College Degree (or equivalent) with a passion for office management. Bonus points for additional administrative or office-related certifications!
Superb organizational Skills: You’re the person who always knows where everything is, and you do it with a smile.
Strong communication skills: Whether it’s writing emails or chatting with colleagues, you’re clear, concise, and kind.
Tech-savvy: You’re comfortable with tools like Microsoft Office Suite (Word, Excel, Outlook), and you’re ready to learn new systems as needed.
A can-do attitude: You’re adaptable, resourceful, and love being part of a team that values collaboration.
Language: Candidate must have English speaking and writing skills. Due to our nature of business, if the candidate has additional communication skills (speaking and writing skills) in Bengali, Hindi, Urdu, Panjabi or Mandarin language, we will consider the candidate for the shortlist.
