The Invisible Workload: Part 4

Your 30-Day Mental Declutter Experiment

Your mind is brilliant.
But it’s carrying too much.

Mental clutter isn’t just noise.
It’s the reason you forget what you were doing mid-scroll.
It’s the background hum that makes every decision harder.
It’s why you feel exhausted before the day even begins.

This isn’t a checklist.
It’s a gentle experiment in feeling better.

Week by week, you’ll explore what helps you feel clearer:
Not perfectly productive, just less frazzled.
Not hyper-organised, just more at peace.

You’ll notice what drains you.
What restores you.
And what’s worth keeping.

By the end, you might feel:

Less overwhelmed
More focused
Better rested
Calmer inside

The Invisible Workload - Part 3

The ROI of Outsourcing Your Brain

“I can’t afford a VA.”
Said the entrepreneur losing £1,200 a month to admin.

Let’s be honest:
That “quick email”? It steals 23 minutes of focus.
That invoice you keep forgetting? It costs more than just money.

Mental clutter isn’t free.
It drains your creativity.
It fuels your anxiety.
It fragments your attention.

Delegating isn’t about ticking boxes. It’s about buying back your brain.

One client said: “I massively valued our session together and felt a huge sense of containment and relief. I already feel more hopeful than I have in weeks.”
~ FC, Education Psychologist

What’s your hourly rate?
Multiply it by the admin hours you do.

That number? That’s your freedom fund.

The Invisible Workload - Part 2:

Why Your Productivity Apps Keep Failing You

You’ve downloaded every app.
Tried every planner.
Colour-coded your calendar.
- Still drowning.

Here’s why:

Most tools assume your brain works like a machine.
Linear.
Predictable.
Clock-driven.

But ADHD brains don’t run on timers. They run on energy, emotion and context.

That “pay invoice” reminder at 2pm?
Useless if you’re mid-flow and breaking focus costs you 45 minutes.

Apps don’t know when your dopamine’s low.
They don’t care if you’re stuck in a wall of awful. They just ping.

You need support that adapts to you. Not the other way around.

What’s one app that promised clarity but left you more frazzled?

The Invisible Workload - Part 1:

The Mental Load No One Talks About

Your body’s tired.
But your brain?
Still rehearsing tomorrow’s to-do list.

Reply to your sister.
Reschedule the dentist.
Chase that invoice.
Buy the birthday card.
Find that photo you swore you saved.

This is the invisible workload.
Not the doing but the tracking.
The mental tabs that never close.

It’s why you feel behind, even when you’re ahead.

Why your £100/hr work gets interrupted by a £10 task.

Why you lie awake wondering if you’ve forgotten something important.

You weren’t built to carry it all. Your brain is wired for strategy, not spreadsheets.

Delegate! It is not indulgent - It’s how you reclaim your focus and your peace.

Let me know in the comments, what one mental task always sneaks back into your head ?

When AI Tries to Sound Helpful…
But Misses the Human Point Entirely 🤖

Last week, a client forwarded me an email from her “AI assistant.”
It opened with:

“Thank you for contacting us regarding your scheduling needs…”
And ended with:
“This presents a transformative opportunity to optimise our meeting time for maximum value.”

Want to know what she really needed?

To reschedule her website consult because… her daughter had chickenpox.

Real life: 1 AI: 0

💥 Let’s be honest…

You’ve probably tried automating your business too.

But then:
→ Your bot double-books you because it didn’t understand “I’m at a school play.”
→ Your “AI voice” keeps saying things like “revolutionary paradigm shifts” 🤢
→ Your chatbot sends a cheery message to someone who’s clearly upset.

And YOU end up spending more time fixing “smart” tools rather than just being smart yourself.

What AI Doesn’t Get (But Humans Do):

🧠 Context.
🫶 Compassion.
🧩 Judgment calls.
🤯 The “I can’t explain it, but this feels off” moments.

You don’t need another shiny tool.
You need support that knows how YOUR brain works, especially if you’re neurodivergent, ADHD or just done with robotic nonsense.

Do you want your business to finally feel like it was built for you?

I'm here for the real talk: no jargon, no copy-paste responses, just support that actually supports.

👇Are you ready to work with a VA who actually understands?
Let's talk, human-to-human

You can't force a one-size-fits-all solution.
Two rescue cats taught me this.
Now it's how I run my business.

Same litter. Same DNA. Completely different souls.

One brother: "Velcro cat" Stretched up for cuddles. Constantly demanded kisses. Never left my side.

His brother, Rusty: Semi-feral. Wouldn't approach. Hid from humans.

But You can't force connection. You can only create the right conditions and wait.

Built him a safe space with the farm ferals.
Fed him daily. Spoke quietly to him. Never tried to touch him.
Let him choose when he was ready.

He chose to come inside.
18 months later, he was sleeping on my bed demanding tummy rubs.
And turns out, he was David Attenborough's biggest fan.

I apply this exact approach with clients:

A renovation company drowning in task chaos:
I didn’t push them into a complex new system. Instead, we started where they were comfortable.
We tested unused features in their current system, one at a time.
Now they run like clockwork.

A founder losing paper notes/to do lists from site visits:
No point suggesting typing them up if he cannot fit the process into his way of thinking.
“What do you prefer? Messaging or calling people?” “Calling them”
So use voice notes!
Thereafter, anything from site was recorded and sent to the team to type up.
Now nothing gets lost.

Just like Rusty needed time and the right environment... Your team needs systems that match THEIR nature.

Stop forcing what "should" work. Start building what actually does.

If you're struggling with overwhelm and don't know where to start, I can help. DM me or visit lanza-va.com to simplify the chaos and focus on what matters most. The way forward isn't about fitting into the norm—it's about creating a way of working that fits you.

How to Handle Criticism Without Freefall

In a previous helpdesk role, my boss, stony-faced, called me in.

“The client is says you were rude.”

I wasn’t.
Yet my heart raced, stomach flipped, tears threatened.

At 43 I still reacted like a child to criticism.
That surge is Rejection Sensitivity Dysphoria (RSD).

I needed space to think.

I walked round the block and called a friend. Talking it through clarified things:
• I stayed calm and polite
• I fixed the printer fault
• The caller was frazzled by a looming deadline

Back at my desk I reread a few recent success tickets. They reminded me I’m worth my salt.

I returned to my manager and answered the accusation with confidence.

In the past that spiral would have cost two days of focus; this time I recovered in 25 minutes.

The reset that worked:
1. Step back and reset: – take a walk, stretch or make a drink
2. Fact-Emotion-Action note – one fact, one feeling, one next step
3. Ten-minute chat – talk it out with someone you trust
4. Victory log – read two wins before replying

Overwhelmed by too many tasks, systems, and unfinished projects?

Many entrepreneurs, especially ADHD founders, come to me overloaded:

• Too many active projects, not enough clarity on where to focus
• Tools, apps, and software they’re tangled in but can’t easily walk away from
• Stuck in a cycle of doing, firefighting, and feeling blocked

The Business Clarity Session is designed to break through that.

In this structured two-hour session, you lay everything on the table

- your ideas, frustrations, half-working systems, and scattered to-dos.
- I help you sort through it, spot patterns, and identify practical next steps.
- After the session, I review what we covered, do any needed research, and send you a clear, short summary with personalised suggestions.
- We also check in later to make sure the plan stays on track.

“Thank you SO much for such a brilliant, helpful and fun session... it’s become so much clearer now.” ~ FC

If you’re not ready for the full session, you can also book a free 15-minute Calendar Sanity Check - two live tweaks for one pressing problem.

Clarity isn’t about doing more. It’s about knowing what matters most.
