One of the biggest presentation mistakes happens before a single slide is created.

People open PowerPoint too soon.
Instead of thinking about the audience, they start designing slides.

I always encourage clients to begin with three simple questions:
• Who is my audience?
• Why do they want to hear this?
• What do I want them to do next?

Once those answers are clear, creating the presentation becomes much easier.

It's shaped by the quality of your thinking.

Protecting time to think isn't a luxury.
It's part of the job.

Many leaders think they're overwhelmed because they have too much work.

Sometimes that's true.
But when I dig into it with executive coaching clients, a surprising amount of the workload turns out to be self-inflicted. Not by laziness or poor planning.
By unclear communication.

Think about how much time gets eaten by:
Explaining the same thing a second and third time.
Correcting work that wasn't what you meant.
Chasing updates that never arrive.
Fixing mistakes that a clearer request would have prevented.
Meetings that end without anyone knowing who's doing what.

None of that shows up on a to-do list. But it's hours out of every week.

Here's the reframe I offer clients:
Poor communication creates workload. Better communication reduces it.
- One properly run meeting can prevent a week of confusion.
- One clear email can replace three follow-ups.
- One well-structured request can save a whole round of rework.

The next time you feel overloaded, don't just count the tasks. Ask yourself:
How much of my workload is the cost of unclear communication?

Often, it comes from small changes we choose to make consistently.
