We are looking for a business administrator apprentice to start in the new year!
About Ligna Consultancy:
Located in Newmarket, Suffolk, Ligna Consultancy is a small but rapidly growing tree consultancy business. We undertake a wide range of projects for our clients (both commercial and domestic), undertaking tree surveys and inspections, and providing a wide range of reports for both tree related planning permission (for the construction of buildings), tree safety assessments, and planting schemes.
You will become the fourth member of our young and dynamic team, which currently includes 1x Experienced Consultant, 1x Trainee Consultant, and 1x CAD Tech/Office Assistant (on maternity leave). We are also looking to add another 1-3 staff members to the team over the next 12 months.
Objectives: Working to support the Director by providing business and administrative support to the Ligna Consultancy team. Using your initiative to help improve processes and ensure the office runs smoothly at all times. This will include scheduling appointments and basic book-keeping as well as sending invoices and liaising with customers to arrange appointments. (Training provided)
Support:
๏ง Working alongside the Director to support the Ligna Consultancy team to manage their workload and business administration activities e.g. processing monthly expense claims and inputting mileage claims, answering the telephone, maintaining the group email inboxes, dealing with customer enquiries, scheduling meetings and basic book-keeping.
Meetings:
๏ง Answering the telephone
๏ง Diary management and scheduling appointments
๏ง Arrange internal and external meetings (to include meetings with customers) ensuring that all have
relevant information in advance to support a smooth process.
๏ง Attend and take minutes at meetings, as required.
Budgeting/Finance:
๏ง Collating accounting information
๏ง Sending invoices
๏ง Processing and chasing payments
๏ง Basic book-keeping
Communication
๏ง Maintain Ligna Consultancyโs customer database
๏ง Monitor and respond to general email enquiries that are received
๏ง Monitor and respond to voicemails
๏ง Assist with general administration tasks including preparation of agendas, printing and sending letters/invoices to customers, scheduling of surveys
Other Responsibilities:
๏ง Assist other parts of the organisation as required.
๏ง Undertake ad-hoc mini projects and tasks as required.
๏ง Maintain discretion and confidentiality
Pay/Working Hours:
๏ง Pay dependant on age and experience: ยฃ5.50 p/h (apprentice wage)
๏ง 30+ hour working week
