Why is my business called ‘Compass Rose Virtual Assistant’?

A 'compass rose', sometimes called a 'wind rose', is a figure on a compass, map, nautical chart, or monument used to display the orientation of the cardinal directions (North, East, South, West).

I grew up enjoying sailing with my family, and have moved house many times as a result of military life, so I feel like a compass rose has played a big part in the direction of my life!

Not only do I love how they appear, but the idea of helping people and companies to better ‘navigate’ their way through their business administration appeals to me. These thoughts were the inspiration for creating the name ‘Compass Rose Virtual Assistant’.

Sometimes it feels like there just aren’t enough hours in the day to complete your ‘to do’ list, especially if you are trying to fit your work into the school day.

Often your ‘home life’ tasks can creep into the time that you feel you should be spending on your paid job life tasks.

Here are some top tips to help you manage those tasks and your time better:

📝 Write separate lists for home life tasks and work tasks (combining the two lists can be overwhelming and confusing).

🗓️ Use a diary to time block your work tasks for the week, that way you know you won’t be left feeling panicky about work not being completed by the end of the week.

✅ Use the time around those set ‘work time slots' to complete your home admin tasks.

🧘‍♀️ Separating the two can help to make you feel calmer and more in control.

I am the VA to their team of three Case Managers and it’s been hugely rewarding helping them with their business administration. Together, they are supporting their clients who have significant brain injuries.

I’ve helped to ease their workload and given them more time to focus on their clients:

✅Summarising daily client reports from Support Workers and Rehab Assistants.

Either via email, phone, messaging platform (WhatsApp, Slack, Teams, Zoom etc) or via project management software (Asana, Trello, Click Up, Notion) or a mixture of all of them.

How often is also up to you, I am not your VA to create more work for you and to add to your already busy ‘to do’ list, however, a regular dialogue is hugely beneficial.

This is your reminder that you do not have to be glued to a desk between 9am - 5pm each day.

I started my Virtual Assistant business when I realised that I wanted a flexible job that worked around my family life, and I know the same is true for many small business owners.

I am generally available to clients during the week but there are no set times, as it depends on the needs of my clients and my family.

I will always make sure I agree deadlines in advance with clients, and if a situation changes, they will be the first to know if that deadline will move - there is a constant and open dialogue.

If you are looking for someone to help in your business and be available 9 - 5, Monday - Friday, then you might be more suited to hiring an employee.

The beauty of hiring a VA is that you only pay for the hours they work on your business. There are no overhead costs such as insurance, monthly subscriptions, office space and equipment.

It happens to us all!

Here are my top 3 tips to avoid being distracted whilst you work, and increase your productivity.

📱Set an alarm on your phone for 1 hour, then put it aside and work on one project solely during that time. Make a promise to yourself you will deal with any distractions (replying to emails/social media) AFTER that alarm goes off.

🗓 Time blocking is your friend. Don’t let Fridays creep up on you and feel panicky about what you haven’t achieved. Take time at the start of the week to block out chunks of time in your calendar to make sure everything you need to get done is scheduled. Anything extra has to fit around those blocks.

☕ Take breaks. Stepping away from your screen gives you a renewed sense of energy. Use that time to make yourself a cuppa, do two minutes of skipping, have a short walk, whatever works for you! You’ll be amazed at your productivity when you return to your desk.

If however, you are still overwhelmed with your workload, then why not outsource work to a VA. Think how light and relieved you would feel if you gave some of the repetitive tasks that take up your time and that you dread to someone you can trust to just get on with them.

Once that is set up you will have time to focus on furthering your business, time with your family, or just time to STOP and take a DEEP BREATH.

How often do I need to check in with my VA?

As often as you like. If you’re considering hiring a VA, it’s because you want to ease your workload, not add to it!

All of my clients have different needs, some require regular catch up calls, others prefer to email and have a a catch up call every few weeks.

A VA will be guided by you and your needs. There are no set rules.

The beauty of hiring a VA is you only pay for the hours they spend working on your business, so it doesn’t need to be another financial or time burden for you.

Trusting someone else to join your business, especially if it is a start up, is a big leap.

Not only do you need to make sure that the person is the right ‘fit’ culturally, they need to share your values, and most importantly be protected professionally.

I can reassure my clients with the following:

✅ Their data is protected - I am fully registered with the Information Commissioners Office.

✅ All clients sign an agreement outlining terms and conditions, and includes a confidentiality agreement for your reassurance.

✅All clients receive a Data Processing Agreement (DPA), an agreement between a data controller (your company) and a data processor (Compass Rose Virtual Assistant). It regulates any personal data processing conducted for business purposes.

✅I have professional indemnity insurance for my business

✅I have over 11 years experience as a Personal Assistant, and I completed the Advance Virtual Assistant Academy course with , so I am well versed in the standards expected by the VA industry.
