Job Summary
The office administrator role is crucial for in ensure that there is a bridge between the management and staff. Office coordinator will be responsible for ensuring that administrative support is provided in accordance with Elyon Healthcare policies and procedures. At all times ensuring that the staff are professional, and any concerns are addressed before they escalate.
Key Responsibilities
Administrative:
• Be familiar with the administrative records of Elyon Healthcare and ensure that all records are kept up to date.
· Ensure good team working.
· Motivate, support and mentor the staff when needed. Through regular personal contact with staff in clients’ homes ensure staff are working at an acceptable standard and adhering to the company’s policies and procedures.
· Carry out service user and staff satisfactory surveys.
• Assist staff to complete relevant documentation as directed.
• Creating Audits and completing monthly audits
• Diary management, Booking meetings
• Minute taking
• Screen calls, enquiries and requests, and deal with them when appropriate.
• Typing, filing, photocopying as directed by members of the office team
• Sending of and responding to emails using company format
• Any other duties as may reasonably be required by line manager
Communication Responsibilities
· To communicate effectively with clients and families, recognising their needs for alternative methods of communication
· To communicate effectively with other team members
· To take responsibility for own learning
· To attend mandatory training

Training:

• Provide effective supervision sessions for care staff within the team and support with identified training needs.
• Provide training to new staff and also training updates

· Support individuals in a non-judgemental way based on the principals of anti- discriminatory practice.
· To treat individuals with respect and encourage them to express their individuality.
· Maintain confidentiality.

· You will be required to work flexibly on a rota basis to meet the needs of the service this includes weekends, bank holidays and when required.
Rota Responsibilities

· To ensure that the rota is completed in line with the set rota guidelines of the service.
· To liaise and communicate with staff regularly to ensure that there are no rota shortfalls.
· To ensure that daily checks are carried out on the rota.
· To engage with agencies to provide any external support with the rota ensuring that managerial support is gained prior utilising agency staff.

General Responsibilities

• To undertake responsibility within an area of work as delegated by manager
• Understand and observe all relevant regulations and Elyon Healthcare policies and procedures.

Previous experience as a Support Worker with learning disability, autism or challenging behaviour experience is desirable however we don’t require experience as full training is provided but we are looking for enthusiastic and self-motivated individuals who want to make a difference to the lives of the people we support!!!

We require dedicated Individuals to work in our supported living services supporting adults with learning disabilities, autism and autistic spectrum disorders, complex needs, mental health issues and challenging behaviours in all aspects of their daily lives.

The role:

To provide a Positive Behaviour Support (PBS)/sensory integration service to people with learning disabilities and/or autism spectrum conditions, to develop and deliver services for people who engage in behaviours that challenge, and to support the development of new business.

Key tasks, responsibilities, and outcomes:

1. To identify and actively engage with issues and practices which require improvement or development of teams or individuals.

2. To provide and ensure that all staff deliver personalised support in accordance with their personal plan of support and positive behavioural support plan.

3. To supervise the behavioural assistant/s and members of the practice leader team on a regular basis in line with organisational policy.

4. To develop positive behavioural support plans for the people we support alongside the person and their network.

5. Design, implement and monitor PBS interventions that improve the quality of life and lead to rewarding and fulfilling lives for the people we support.

6. To read and analyse incident reports, daily reports, reviews, and other documentation sharing key information with stakeholders and ensuring that support plans and BPS are reviewed and regularly updated.

7. To identify group and individual learning and development needs; to organise and deliver training, workshops, and learning opportunities for our support teams. Topics which relate to PBS, autism spectrum condition and high quality outcome focused support.

8. To organise and run de-brief sessions for both individuals and whole teams following a difficult incident with a person we support.

9. To participate in our out-of-hours on-call service on a rotational basis.

10. Work flexible hours as required by the organisation.

11. Support the development of new business.

12. Take an active role in the design of new services for people who engage in behaviour that can present a challenge to their support network.

13. Contribute to the development of the behaviour support across the company.

14. Communicate in a professional way with the people we support and their relatives, other organisation’s, staff within the company, and other professionals

Essential experience and skills required:

Proficient in using Microsoft Office suite
Strong oral presentation and written communication skills
Good organisational skills
Proactive team player with a positive can do attitude
Previous supervisory or line management experience would be advantage
Maintain accurate, up-to-date systems
Manage your time and caseload effectively
Qualifications:

· Recognised qualification in learning disabilities and challenging behaviour or willingness to work towards is essential

· Recognised qualification in Applied Behaviour, Analysis, Positive Behaviour Support, or Sensory Integration (E.g. Tizard) is desirable

· Evidence of ongoing training with respect to Applied Behaviour Analysis, Positive Behaviour Support, learning disabilities, and autism spectrum condition and/or sensory integration
