10 Signs You Need to Outsource Your Admin

Feeling overwhelmed by admin tasks? You’re not alone!

Here are 10 signs it might be time to bring in a Virtual Assistant (like me!):

1️⃣ You’re drowning in emails
2️⃣ Your to-do list never ends
3️⃣ You’re missing deadlines or follow-ups
4️⃣ You’re working late just to catch up
5️⃣ You avoid tasks you dislike (hello, spreadsheets!)
6️⃣ You want to grow but admin is holding you back
7️⃣ You’re constantly multitasking
8️⃣ You’re not sure where your time is going
9️⃣ You’ve got ideas but no time to act on them
🔟 You’ve said “I’ll sort that later” more than once today

Outsourcing admin = more time, less stress, and space to focus on what really matters.

Not all of my work happens from behind a desk!

Today I’ve stepped away from my VA role and back into the excitement of the Scottish Dental Show.

For more than 10 years, I’ve had the privilege of supporting the wonderful Susie van der Post with the workshops at this fantastic event. It’s always a pleasure to work alongside Susie and the fabulous Connect Team, and to be part of such an incredible team effort.

Seeing the exhibition hall bustling with exhibitors, speakers and delegates, never gets old. Events like this are a real reminder that great things happen when everyone pulls together, and the Scottish Dental Show showcases teamwork at its very best.

So proud to play a small part in it each year. 🦷

Client feedback like this reminds me exactly why I do what I do.

Running a business is exciting, but it also comes with a LOT of behind the scenes work that quietly eats up your time and energy. That’s where I come in.

As a Virtual Assistant, my job is simple: I take care of the background tasks so you can focus on what you love and grow your business with less stress.

And when a client shares feedback like this, it genuinely means the world:

“I have been self-employed for the past 7 years, and because of the nature of my business, there’s always a huge amount of work involved, especially when it comes to social media and the admin side of things.

A friend recommended Sarah to me, and honestly, I’ve never looked back. She is incredible at what she does - super responsive, reliable, honest, and incredibly efficient. The quality of her work is amazing, and she has completely transformed the administrative side of my business.

Not only has she helped me organise and streamline everything behind the scenes, but she also helped me create a digital store where I can sell my work, build a global brand, and even create and launch masterclasses around it all.

I personally could not do without her. She’s so easy to talk to, explains everything clearly, and always goes above and beyond to understand exactly what’s needed. Her support, knowledge, and dedication have made such a difference to both me and my business, and I honestly can’t recommend her highly enough”.
Karen Windsor, Sculpt & Change Therapies.

Every business is different, but the goal is always the same: make things smoother, clearer and easier so you can get back to the work only you can do.

If the admin, the tech, the systems or the “I’ll get to it later” tasks have been weighing you down… you don’t have to carry it all alone.

Send me a message - I’d love to help make your business feel lighter.

Why outsourcing your admin makes business sense.

Here’s something many people don’t realise about working with a Virtual Assistant…

It’s not just about getting tasks done. It’s about removing the mental load that quietly builds up behind the scenes of every business.

You know that moment when you’re trying to focus, but your brain keeps nudging you with reminders like: “Don’t forget that invoice… reply to that email… update that spreadsheet… fix that link… send that reminder…”

That constant background noise is exhausting, and it’s exactly what I take off my clients’ plates.

When you work with me, you’re not just outsourcing tasks. You’re outsourcing the thinking, the planning, the remembering, the organising, the “I’ll deal with it later.”

That’s where the real time savings happen.

That’s where clarity returns. And that’s when business owners finally get the headspace to focus on growth, clients, and the work they actually enjoy.

If your brain feels full and you’re carrying the invisible workload of your business on your own, you don’t have to.

This is the part I specialise in, making the behind the scenes feel lighter, calmer, and more manageable.

If that sounds like something you need, pop me a message. I’d love to chat.

* The photo? Clear lines. Clear mind. That’s the power of streamlined admin.

Village Day on Saturday reminded me of something powerful - great things really do happen when people work together.

In my spare time (the kind we all somehow find when something matters!), I’m part of the Love Pathhead Village Day committee and the local playpark fundraising group, The Callander Park Group. This weekend was our big event… and what a day it was.

So much goes on behind the scenes to make it happen:
• Weather watching - the wind kept us guessing
• Risk assessments
• 200 burgers
• A small army of brilliant bakers
• Amazing tombola donations
• And volunteers who showed up with enthusiasm, humour and a proper “let’s get it done” attitude

I’m really proud to have played a part in such a fantastic team effort. It’s amazing what can happen when everyone pulls together.

And it struck me, the same skills that help events like this run smoothly are the ones I use every day as a Virtual Assistant.

Coordinating moving parts, staying organised, keeping an eye on the details, and helping things flow behind the scenes so others can focus on the bigger picture.

Whether it’s a village day or a business operation, teamwork and good organisation make all the difference.

Proud of our village.

Proud of our volunteers.

Proud to support great people, in the community and in business.

Love Pathhead

A Little Re-Introduction

It’s been a while now, so I thought it was time for a little re introduction to me and Whigham Exec Solutions.

I’m Sarah Whigham, Founder of Whigham Exec Solutions, and if you often feel overwhelmed by daily admin, operations, or the constant juggle of running a business… you’re in the right place.

I help business owners get back their most valuable asset: time.

I work with a variety of small businesses from construction through to health and my main goal really is to help bring structure, clarity, and calm to the chaos of running a business. So whether that’s managing inboxes, processing invoices, streamlining operations or taking care of the day to day admin that keeps piling up, my goal is simple: to make your business run smoother so you can focus on the work you love.

A little about me: I’ve spent over 20 years in senior management across higher education, hospitality, and events, working with brands like Terence Conran, Harvey Nichols, and Queen Margaret University, so I’ve seen first hand how much pressure business owners carry, and how much difference the right support can make.

I’ve also lived through burnout myself, so creating breathing space for others isn’t just my job, it’s something I genuinely care about.

These days I work from my home in Midlothian, juggling two boys, a black lab called Henry, and a very large extended family. So being organised is part of my daily life, there is nothing that a good spreadsheet can’t sort out!

Whigham Exec Solutions was born from a love of systems, structure, and helping people feel less overwhelmed. I integrate seamlessly into your team, work as if your business were my own, and create the foundations that help fast moving businesses thrive.

If you’re new here - welcome.

If you’ve been here a while - thank you for sticking around.

And if you ever feel like you’re carrying too much, my inbox is always open.

Ever wondered what it’s like to work with a Virtual Assistant?

Here’s how I make things simple and stress-free at Whigham Exec Solutions:

Step 1: Discovery Call
We’ll have a relaxed chat where you can tell me what’s stressing you out, the tasks you dread, the things holding your business back, and what’s keeping you up at night. You can even share your to-do list! I ’ll help you figure out what I can take off your plate to make your day easier.

Step 2: Your Custom Package
I’ll put together a support package tailored to your needs, or we’ll decide if an hourly rate or retainer works best. You’ll get a proposal to review, and once you’re happy, we sign the contract and get going!

Step 3: Onboarding
We’ll jump on another call to go through your systems and processes. We’ll set up how we’ll work together, how I’ll get tasks from you, and I’ll get access to everything I need to do my job well.

Step 4: Ongoing Support
We’ll set up regular check-ins (weekly, bi-weekly, or monthly, whatever suits you). I’ll keep things running smoothly behind the scenes so you can focus on growing your business. No micromanaging needed, I’ve got it covered!

Summer is coming….and so is the juggle!

I swapped my usual workspace for a lovely café yesterday, planning holidays and thinking ahead to the summer juggle that so many business owners face. As a mum of 2 boys, I know exactly how quickly the juggle starts to build and makes running a business feel twice as busy.

And while you’re trying to enjoy family time or take a proper break, the business admin doesn’t stop.

Emails still come in.
Bookings still need managing.
The to do list still grows.

If you’re already thinking about how you’ll balance it all, this is exactly where VA support can help.

I can keep things running smoothly behind the scenes, so you don’t have to choose between your business and your summer.

Support available over the summer:
• Inbox & diary management
• Customer enquiries
• Admin tasks
• Booking systems
• General business organisation

Whether you want to fully switch off for a week or just lighten the load during the holidays, I’m here to help keep everything moving.

You don’t have to do it all yourself this summer.

Send me a message if you’d like support. I'd love to help.

VA tip: Build Simple Systems

One of the best ways to make your week feel lighter is to create simple systems for the tasks you repeat over and over again. You don’t need fancy software or complicated processes, just clear steps you follow every time.

When you turn a repeating task into a system, you save time, reduce stress, and stop wasting energy figuring out what to do next. It also means that if you outsource or bring in support, everything is already organised and easy to hand over!

Here’s a quick example - a Weekly Inbox System that works for most businesses:

• Set aside a 10-15 minute slot each morning
• Sort new emails into three folders: Action, Waiting, Archive
• Reply to anything that takes under two minutes
• Add bigger tasks to your to do list or project tool
• Clear your inbox back to zero

It’s simple, but it removes so much mental clutter.

Small systems create big results.

If your business could use clearer workflows or a bit of structure behind the scenes, I’d love to help, just send me a message.
