A timesheet tells you who was present. It does not tell you what made money.

Knowing a technician was in for eight hours is useful for payroll. It doesn't tell you which jobs those hours went on, or whether they were charged.

VAPTA reports technician time by:

• Technician
• Job
• Activity
• Customer
• Vehicle

It also highlights missing or unallocated time: the hours where someone was clocked in but nothing was booked to a job. That's often where the biggest gains are hiding.

Where are your technicians' available hours going?

Technician time comes in layers:

🕒 Available: the hours a technician could work
🕒 Attended: the hours they were on site
🕒 Productive: the hours spent on jobs
🕒 Sold: the hours charged to customers
🕒 Invoiced: the hours that actually made it onto an invoice

The gap between each layer tells a story.

It's also worth separating two measures that often get mixed up. Utilisation is how much of a technician's attended time went on productive work. Efficiency is how the time they took compares with the time sold for the job.

A technician can be fully utilised and still inefficient, or efficient but under-used. You need both to see the full picture.

A busy workshop is not always a profitable workshop.

Bays can be full and technicians flat out while margin quietly leaks away. The real question isn't how busy you are, it's what that work is actually earning.

VAPTA Workshop reports on:

• Work in progress
• Completed work that's still waiting to be invoiced

That last one matters more than most people think. A finished job that hasn't been invoiced is money you've earned but haven't asked for yet.
