How to make an immediate impact as an EA - PART FOUR.

This is a tough one.

Take responsibility.

When things go wrong (as they invariably will at some point), and as tempting as it can be, don't make your default position be to blame:

🤷🏼‍♂️ Someone else
🤷🏼‍♀️ The circumstances
🤷🏼‍♂️ A lack of knowledge
🤷🏼‍♀️ Technology
🤷🏼‍♂️ The process
🤷🏼‍♀️ A lack of time

Clearly, sometimes it WILL be one of those things, but it's often too easy to shift blame quickly and skirt round taking responsibility for something we could/should have done better ourselves.

Of course, no-one likes to put themselves front and centre when something goes wrong. Our instincts are to protect ourselves from criticism and judgement.

But by taking responsibility when necessary, we show that we're vulnerable, honest, transparent, conscientious and self-aware...regardless of the reaction we get from others.

We're acknowledging that we're human and we fail sometimes (Spoiler alert: everyone fails sometimes 😉).

So make your default EA position to take responsibility when you need to, find a solution and then take steps to try and prevent the same thing happening again in the future.

Are you hoping to make 2023 a year of change, but worried that your nerve will vanish before you start?

Whether you're starting out as a new EA or moving into your 2nd/3rd EA role, you need a level of confidence to get started.

BUT that confidence can often evaporate just at the time you need it most.

Isn't it time you had confidence that you could rely on?

Sometimes the EA role is lonely.
 
It might be that you’re the only EA in your organisation or it could be that you’re working on a confidential project and can’t communicate with anyone else about it.
 
You might be part of a huge team, but feeling just like a number rather than an individual or maybe you’ve just started out and feel hugely under-prepared for the level of work you have to do.
 
If you feel lonely at any point it’s important to remember that there are things you can do to help yourself. Here are a couple I’d immediately recommend:
 
✅ Reach out to an EA community that you think can help you, online or in-person

- Does what they offer appeal to you?
- Does the group give you a good feeling?
- Do you know others who’ve already joined (and recommend it)?
- Will you feel comfortable enough to share experiences and/or ask for advice (obvs not the confidential project you're working on though!)?
- Do they offer great value for their members (most do!)

✅ Think of everything you’re doing, day-to-day and turn that into a positive power list that you, yes YOU, are doing all by yourself – you’re pretty amazing, aren't you?!

HINT: you have the responsibility, the trust and the expertise as well as being the expert, the time-keeper, the generator of ideas, the finder of solution and, the results-provider (is it me or do they all sound like superhero names?!)

Trust.

One of the cornerstones of a great working relationship between an EA and the people they support. But how do you start to build that trust when you're just starting out or if you're supporting someone new?

RELIABILITY
Be on-hand to help, offer your support, find solutions, do what you say you’ll do, hit deadlines every time

INTEREST
Show a genuine interest in what they actually do. Ask questions about it and/or ask to be involved as much as you can be

LOYALTY
Don’t give in to gossip (nothing undermines trust more). Maintain confidentiality, particularly around personal stuff. Be an ambassador for them

GENUINENESS
Most of us have an in-built radar for phoniness, so get to know your boss and be genuinely interested in them and the work they do

OPENNESS
If your boss is interested in hearing how your weekend went or how your cats are, don’t shy away from sharing things with them (but don’t overshare – that’s not great for anyone!). Remember it’s a two-way working relationship

How are you coping with the flight situation in the UK at the moment?

Cancellations, delays, strikes and all the issues just getting through Customs mean that you're probably having to find multiple back-up plans for your bosses when they travel.

Disruption comes along pretty much every week in EA-Land, if not every day (!), so you get pretty adept at thinking around potential problems (btw EAs were doing this LONG before the pandemic!!). But it can impact your regular work quite significantly if it's a major disruption and/or something that's ongoing.

One way to help other EAs is to share your workarounds with your team. What solutions have you found work well? What little-known routes are out there? Have you come up with any shortcuts?

Share the knowledge via email or at team meetings...anything to pool resources and help each other to succeed.

In my training courses I talk a LOT about the challenges you face as an EA, but I think it’s also important to take time to acknowledge the truly incredible people you also get to support in the role.

I’ve been really fortunate and worked work with some sensationally brilliant people at points in my career. I call them my SUPERSTAR bosses.

I know they’re pretty rare and when you find one, you’re very reluctant to ever stop supporting them (even if they move to the other side of the world as one of mine did 😃)!

They just tick all the boxes as a boss, don’t they? Thoughtful, inspiring, understanding, forgiving, even-tempered, forward-thinking, generous…the list goes on and on!

So if you’re in the enviable position of supporting a Superstar boss right now, make sure that, at some point, you tell them how great they are and how much you enjoy working for them! Everyone loves positivity 😊

Do you have a professional brand that belongs to you and only you? Have you ever thought about it or worked on it?

It can be too easy to go through your career thinking that 'Executive Assistant' is your brand, but that doesn't do you any real justice (or separate you from the hundreds of thousands of other EAs globally).

You're unique. Your strengths, skills, talents, likes and ambitions make up who you are and having a brand can help demonstrate the incredible one-offness of you!

A professional EA brand gives you a solid strong core - one that is laser-focused, consistent, adaptable and reliable in times of chaos and crisis.

How do you feel about making notes on paper while you work? Outdated or still useful?

Personally, I love a great looking, good quality notebook on my desk, so I can jot things down throughout the day (I’m a bit of a paper snob though - it has to be that gorgeous creamy, good quality stuff!).

But I also use my Outlook diary to note things for the future and send myself emails at the end of the day to remind myself of important things for the next morning.
