Spreadsheets are a great starting point, but they were never designed to run a growing customer-facing operation.

As teams expand, duplicate records appear, ownership becomes unclear, and important changes can be difficult to track. What begins as a simple system quickly turns into a manual process that consumes time and introduces risk.

The key difference? Spreadsheets help you analyse data. A CRM helps you act on it. It keeps teams aligned, tracks customer interactions, and drives the next best step.

Growth often starts with better visibility and accountability.

There’s nothing inherently wrong with spreadsheets. In fact, many businesses start there, and for good reason.

For a sole trader or small team, a spreadsheet can be a practical and effective way to manage prospects and customers.

The challenge comes as the business grows. More people need access, more activities need tracking, and more processes need consistency.

That’s often when cracks begin to appear. Data gets overwritten, updates are missed, and customer information becomes harder to manage.

Spreadsheets are a useful starting point. They’re not always the best platform for scale.

It is finally time to stop using spreadsheets for your growing projects.

Many businesses don’t move beyond spreadsheets because they’ve outgrown them. They move because something breaks.

A key person leaves. Data is duplicated. Reports conflict. Suddenly, simple lists become a barrier to decision-making. Questions around conversion rates, forecasting, pipeline performance and growth become harder to answer with confidence.

The real tipping point isn’t usually workload. It’s visibility. Leaders need reliable information to make better decisions, and spreadsheets can only stretch so far before they start holding the business back.

Learn the exact signs that indicate your current system is failing, from broken data to conflicting file versions. This guide helps you identify when complexity outweighs the benefits of simple lists.

Culture change rarely happens overnight. It takes intention, consistency and the right systems to support it.

One overlooked benefit of implementing a CRM is the impact it can have on accountability and ownership across a business. It encourages shared visibility, clearer processes and better customer management.

A simple question for any business leader: who owns your customer relationships today?

If a salesperson left tomorrow, would that knowledge stay with the business or walk out the door with them?

Strong growth depends on building systems that outlast individuals.

Here's the uncomfortable truth: the more we outsource thinking to AI, the worse we get at thinking for ourselves.

People are feeding terms and conditions, statements of work, even meeting minutes into AI, and then taking the output at face value without a second thought.

That's not efficiency. That's a slow surrender of critical judgment.

The real risk isn't that AI gets things wrong, it's that we stop noticing when it does.

If you can't spot the howlers in what the machine spits out, you're not using AI.

AI is using you.

Some contract clauses sound reasonable until you look at the detail.

Take anti-disparagement clauses. Most business owners would happily agree not to damage a customer’s reputation publicly.

The issue is that some clauses are drafted so broadly they restrict any critical comments at all, even internal feedback.

For consultants, advisers and specialists, that creates an obvious problem. Clients hire you to identify issues, challenge assumptions and provide honest recommendations.

It’s a reminder that small pieces of contract wording can have consequences far beyond what either party intended.

If your contract doesn't cap liability, you're gambling with your business.

Open-ended liability means one mistake could cost you not just the fee for the work, but consequential damages, lost profits, and legal costs that spiral into existential territory.

Smart contracts limit liability to the value of the work, or a sensible multiple of it.

And here's what nobody tells you: weak liability clauses don't just threaten today's project. When you come to sell your business, due diligence will surface every uncapped risk.

Fix it now, or pay for it later.

Winning a customer is only half the battle. In Episode 175, we discuss what happens after the deal is agreed and why contracts, procurement processes and terms and conditions can have a bigger impact on your business than many leaders realise.

We share lessons from real negotiations, explore how AI can help review agreements, and highlight the risks hidden in liability clauses, payment terms and poorly defined scopes of work.

If you work with larger organisations, this conversation offers practical insight into protecting your business, managing risk and building stronger commercial relationships without losing sight of common sense.
