I’ve had a few people say to me recently, ā€œAI will probably replace your job in a few years.ā€ And I understand why people think that. AI can already schedule meetings, draft emails, summarise notes, and automate so many of the admin tasks support roles have traditionally handled.

But the more businesses automate, the more I think the human side becomes more valuable, not less. A good VA or EA does so much more than complete tasks. We build trust, protect relationships, spot tension before it becomes a problem, and create an experience that makes clients feel supported. A lot of the role is judgement, emotional intelligence, and quietly holding everything together behind the scenes.

I don’t think support roles are disappearing, they’re evolving. Part of my role now is actually helping clients implement AI and automation well, so they save time without losing the human experience that makes their business work.

Running a business often means wearing every hat.

CEO, Finance, Marketing, Sales, Operations, Admin, IT support

Some of those hats are necessary.

But some of them start to pull you away from the work that actually grows the business.

Quite often the real challenge isn’t the workload, it’s that the operational side of the business hasn’t had the time or space to be properly organised yet.

That might look like:
• Processes that live in people’s heads
• Tools that don’t quite talk to each other
• Projects that need coordination
• Systems that could run more smoothly

This is the space I support businesses in – helping to bring structure to operations, improve processes, and keep things running efficiently behind the scenes.

This is often the moment when we start looking at a process more closely.

Processes often grow over time. A step gets added. Then another tool. Then another person becomes involved. Before you know it, something that should take 10 minutes takes 45.

I’ve recently started offering 90 minute Workflow Clarity Sessions where we take one key process in your business and break it down to understand:
• Who is involved
• Which systems are being used
• Where time is being spent
• Where costs are creeping in

Afterwards you receive a short summary with practical opportunities to simplify, automate or streamline the process.

Sometimes the fix is small. Sometimes it reveals a bigger opportunity.

A typical morning for me looks something like this:

šŸ‘‰Reviewing calendars and deadlines for the day.
šŸ‘‰Writing my task list (I still love putting pen to paper even with all the tech around me).
šŸ‘‰Putting on focus music in the background.
šŸ‘‰Then getting stuck into the work.

Most of what I do is simply helping things run smoothly in the background so clients can focus on the bigger picture.

Everyone has their own rhythm when it comes to starting the workday.

As a VA, I manage my own inbox, plus separate inboxes for each business I support, and sometimes direct access to my clients’ inboxes too.

If you’ve ever felt like your inbox is a full-time job, this is for you.

One of the biggest things I do, across all the inboxes I manage, is stop email from becoming a constant source of noise and stress.

Two simple rules I work by:

1. The inbox is for action only.
If an email is urgent or needs a follow-up, it stays.
If it does not, it gets filed, delegated, or dealt with.

2. Everything has a home.
Folders are set up so you can find what you need in seconds, without digging through thousands of old threads.

It sounds small, but this is how you reduce mental load and stop email from running your day.

If you are spending too much time searching, re-reading, and mentally carrying emails you do not need, it is usually not your workload. It is your system.

Just 20 minutes to catch up, talk things through, and make sure everything feels clear and on track. Those regular interactions help build trust, keep communication open, and mean we’re always working in step with each other.
