Job Title: Office Administrator
Location: Stockton-on-Tees, TS16 0RB
Position Type: Full-time
Job Summary: As an Office Administrator at Icon Plastics Ltd, you will be the backbone of our daily office operations, handling administrative tasks and ensuring a seamless workflow within the organisation. This role is pivotal in maintaining a productive and organised work environment. This position requires excellent organisational skills, attention to detail, and the ability to handle multiple tasks simultaneously.
Key Responsibilities:
1. Administrative Support:
• Manage incoming calls and emails, directing them to the appropriate departments.
• Maintain organised records, including personnel files and contracts.
• Manage office supplies and place orders as needed.
• Ensure the office environment is clean, organised, and conducive to productivity.
2. Communication:
• Serve as a communication bridge between employees and management, addressing inquiries and resolving concerns.
• Draft, edit, and distribute internal and external communications like memos and reports.
• Handle incoming and outgoing mail efficiently.
• Aiding in any queries of the directors
3. Data Entry and Record-Keeping:
• Maintain accurate data entry in spreadsheets, databases, and other relevant systems.
• Uphold the highest standards of confidentiality with sensitive information.
• Proficiently work with ERP software to update and manage information on these systems.
• Receive and process customer purchase orders.
• Create supplier purchase orders and liaise with suppliers.
• Input supplier invoices
4. Financial Support:
• Manage credit card statements
• Manage supplier payments and invoicing.
• Compile data and generate reports for cost analysis.
Requirements:
• Experience in office administration or a similar role.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Exceptional organisational skills with a keen eye for detail.
• Strong verbal and written communication skills.
• Effective problem-solving abilities and a proactive approach.
• Experience with office software and database management is a plus.
