Your building manual probably knows the answer.

The problem is finding it.

For organisations managing buildings, estates and facilities, important information can be buried in years of manuals, drawings, specifications, maintenance records and other documentation.

When something goes wrong, knowing that the information exists isn’t enough. You need to be able to find the right document, understand what it tells you and know that you’re looking at the correct version.

That’s where good records management and digital archiving make a real difference.

Because a building manual that nobody can navigate isn’t much use when you need an answer quickly.

We’ve explored the problem, and what organisations can do about it, in our latest article.

Ever spent far too long looking for a document you know exists?

One of the biggest problems with digital archives isn’t necessarily the amount of information we have. It’s whether that information is organised well enough to find when we need it.

A folder called “Contracts Old” might seem harmless. Until someone spends two hours trying to work out which version they actually need.

Poor file naming, inconsistent structures and undocumented digital collections can turn a simple search into a frustrating, time-consuming exercise.

And as organisations accumulate more digital records, the problem only gets bigger.

Good digital archiving isn’t just about preserving files. It’s about making information findable, understandable and usable.

We’ve explored what this looks like through the story of Sarah, who discovers that “Contracts Old” is anything but simple.

Good document management is about far more than storage.

When records are organised, searchable, and accessible, organisations can work more efficiently, improve compliance, reduce risk, and make better-informed decisions. Moving beyond the traditional filing cabinet opens up new ways of working across teams and departments.

Explore what great document management can really make possible.

Creating a strong business case for digitisation can feel overwhelming, especially when budgets and resources are tight.

But the long-term benefits are clear: protecting important records, improving access to information, reducing storage pressures, and making collections easier to search and manage.

Our latest article explores how institutions can build a practical and persuasive case for digitisation projects.

Managing records is one of those challenges that quietly grows over time. Folders become tangled, naming conventions drift, and before long, nobody is quite sure where anything lives.

The good news? You don’t need to have everything perfectly organised before speaking to us.

We’ve recently supported organisations, including an NHS trust, with bringing structure to large volumes of sensitive HR records. In many cases, the information arrived disorganised, spread across different formats, inconsistent file names, and years of unmanaged data.

Using AI-powered document processing, we help organisations make sense of unstructured records by intelligently categorising, organising, and structuring files automatically. What once took weeks of manual work can now be completed in a fraction of the time, with greater consistency and accuracy.

Importantly, you always stay in control. Every record can be reviewed manually, and your data is never used to train AI models or shared outside of our secure systems.

As a family-run business, we know trust matters. We take the time to understand your organisation, your challenges, and how best to support you.

If your document management feels overwhelming, you’re not alone — and you don’t need to solve it before getting in touch.

Last week, our heritage team were onsite at Archives: Wigan & Leigh, digitising rare material from the Bibliotheca Lindesiana, work we feel genuinely privileged to be part of.

For projects like this, the right equipment and the right people matter. We worked alongside Martin French of Lensart, whose specialist capture equipment integrates seamlessly with our own workflows, allowing us to achieve the very best possible results for these extraordinary volumes.

Being able to complete projects onsite, working directly with archive teams, and handling rare material is something we value hugely. It supports both long term preservation and meaningful digital access, which is what ultimately drives this work.

We’re proud to support Wigan and Leigh Archives and collaborate with partners who share the same care, expertise, and respect for heritage collections.

Get in touch to discuss any future projects you may have.
