Developing Communication Techniques for Success

A recent mentee was promoted to general manager, and was attending the national online meeting of Group GMs for the first time. She was anxious about how her first report would land, in front of a very experienced group of peers. However, the group CEO had also changed at this time, and the new CEO shook everyone up by saying he was not going around the houses getting a report from everyone anymore, that it was a complete waste of time. He would only want to hear from people who had something useful to say.

Our client had her online wave hand up in a flash, and gave a short pithy and really insightful report. Afterwards she was thrilled that she had spoken at all at her first meeting, that she had jumped right in without any thought, that she had delivered her message well, and most of all that she got great compliments afterwards.

The trick was in the preparation. We had prepared a short contribution that was all about insight, not so much about information. The problem with a round the houses reporting structure, particularly online, is that people feel compelled to fill in on every single thing they have done since you last met, rather than giving a good example of how something is working on the front line, or sharing some experience that others can learn from.

The best advice is to read the meeting agenda and decide where you are going to contribute and how you are going to contribute. Plan to tell them something they don’t already know, to give them something to think about, to share information that you are hearing, and to ask for insights from others present. In other words, make your contribution useful and memorable, rather than rote.

It is not the person who talks most at an online meeting that stands out, it is often the person who brings something interesting and different to the airwaves.

How Coaching Works.

Coaching is often described as “a partnership between a coach and a client in a thought-provoking and creative process, which inspires the client to maximize personal and professional potential.”

Working with a coach allows you to take time out for yourself to explore what you want to achieve and how you should get there. But you have to understand that the solutions to your issues are found within yourself – prompted and supported by the coach, certainly, but not provided by the coach. We try very hard not to give advice, or tell you what to do!

In a coaching relationship, the client agrees to:

- Attend a number of sessions

- Provide the topics for discussion/work

- Set and pursue meaningful goals

and the coach agrees to:

- Manage the coaching process

- Attend a number of sessions

- Maintain confidentiality

There are a few other things to agree before we start, but that’s the basics. I prefer to work face to face for our agreed sessions, because it is more enjoyable for both of us! But I’m happy to use Skype or Zoom from time to time, to get the job done.

Nervous or anxious before public speaking? Help is at hand!

You will be hard put to find a better definition of nervousness than this: Nervousness is the moment when we focus on our ability to do the task, and forget to focus on the task itself. The trick with all performance is to mentally turn the spotlight in the other direction, and to make the communication all about the audience and their needs, not about yourself.

On the other hand, if we allow the emotional response of the natural adrenaline rush to be one of panic, and we don’t mentally manage it and acknowledge it, guess what happens? Our bodies decide that we didn’t get enough adrenaline the first time, and very helpfully send us another shot, the second dose strong enough to fell an elephant! This can result in light-headedness, dizziness and actual changes in vision, the effect lasting for up to an hour. And you were thinking of performing with all of that going on?

So, the key to the emotional management of a performance related adrenaline rush is to welcome it, it is your performance energy, and to remind yourself to stay task and result focused – not to get bogged down in negative thoughts like:

· ‘Am I good enough for this task?’
· ‘Should someone else be doing it?’
· ‘I’m bound to screw up.’
· ‘Will they like me?’
· ‘My accent is hard to understand.’
· ‘I wish I didn’t use so many ums and ahs.’
· ‘The sales manager is out to get me.’
· ‘I wish I didn’t have a spot on my chin.’

All of these thoughts turn the giant imaginary spotlight inward, and can destroy a performance by altering the whole focus of the presentation or communication, which should always, always be on the audience.
