Responsibilities
Front desk operations: Assisting & attending to Guests and maintaining proper records for entry & exit details of the visitors. Also responsible for managing parking facilities for guests & issue of Identity Cards.
Board Line Management: Attending incoming and outgoing calls
Record Maintenance: Responsible for maintaining accurate records for couriers (received/ dispatched), Attendance, List of Birthdays & Anniversaries, Extension List, Laptop & IT Stock etc. The incumbent will also be responsible for maintaining personal files & other documentation.
Travel Arrangements: Coordinating with Travel Agencies for Airlines & Railway bookings, Hotel bookings & Car arrangements for employees & guest.
On-boarding: Responsible for making arrangements for new joinees to ensure smooth induction like mobile phone activations, printing of Identity Cards and Access Cards & preparation of Workstations.
Administration: Co-ordination and maintenance of systems related to House-keeping and services
Event Management: Organizing events in office premises (Birthdays, Festivals etc) and managing venue bookings (both indoor & outdoors) along with managing facilities (Video Conferencing, Audio Visual equipment etc).
ERP Updation: The incumbent will be responsible for updating the ERP regularly (Employee Details, Invoices & Billing Details, Vendor Database Management)
Expense Tracking & Payments: Responsible for tracking of day to day transactions and making payments to vendors/ staff for site & administrative functions. Ensuring accurate record maintenance of invoices & bills and work in coordination with Finance Team to ensure timely payments.
Miscellaneous: Responsible for management of Super Fax ids, Video & Audio Conference etc, Stationary Issuing & Tracking of stock.
