WHY DO YOUR PURCHASE INVOICES MATTER WHEN FILING VAT?

You bought goods or services for your business.

You paid VAT.

You have the receipt.

So, can you automatically claim that VAT as input VAT?

Not necessarily.

For an input VAT claim to qualify, KRA requires supporting documentation. Among the requirements is a valid electronic tax invoice that has been transmitted to KRA, with the buyer's PIN where applicable. The supplier must also have declared the corresponding sales invoice.

This is why your eTIMS purchase invoices matter.

If a purchase invoice is missing from your VAT return, don't simply ignore it.

Check:

1. Was the invoice generated correctly?

2. Was your PIN captured correctly?

3. Did the supplier transmit the invoice to KRA?

4. Is the invoice valid and eligible for input VAT?

KRA states that input VAT claims can only be made from valid TIMS/eTIMS invoices that have been transmitted to KRA, subject to the applicable requirements.

So, as a business owner, don't wait until the 20th to discover that some of your purchase invoices are missing.

Review your eTIMS records early.

WHAT GOES INTO A VAT RETURN?

A VAT return brings together information about your business transactions for the tax period.

Some of the key areas to check include:

• Taxable sales and output VAT
• Eligible purchases and input VAT
• Zero-rated supplies, where applicable
• Exempt supplies, where applicable
• Credit notes and other adjustments
• Import transactions, where applicable
• VAT payable or excess input tax

Before you submit your VAT return, take time to review your figures.

Ask yourself:

✓ Are all my sales captured?

✓ Are my eligible purchases captured?

✓ Are my eTIMS invoices properly transmitted?

✓ Do my VAT figures agree with my business records?

✓ Have I reviewed the return before submitting?

Remember, VAT returns should be filed and submitted by the 20th of every month.
