HOW EFFECTIVE IS THE VIRTUAL ASSISTANT?
Most of my clients have asked me this question. It is important to learn some of the basic tasks of virtual assistant.
Some of the main critical factors that determine effectiveness of the virtual assistant is how well a manager utilizes an assistant and to what extend they are willing to delegate their workload to the assistant.
It also depends on how much workload the assistance is willing to handle.
The urge and zeal of the assistant to work beyond his or her comfort zone and assume new responsibilities.
Most executives shy from the fact that as assistant, one of the key qualities is ability to handle confidential company information; hence the executives think and rethink deeply about the workload that can be taken on by the assistant.
This results to a restructured system that defines a limit of tasks that are to be partially taken on by the assistant.
When delegating duties, executives need to entrust the professionals to execute the roles on their behalf. Delegating duties to the assistant is not only giving them task considered as simple side tasks but should grasp the fact that the professional is well trained to take up duties as the executive would.
Therefore, some executives have assistants listen in on phone calls in order to organize and follow up on action items. Today many assistants are taking on more-supervisory roles: They’re managing information flow, dealing with basic financial management, attending meetings, and doing more planning and organizing.
Executives can help empower their assistants by making it clear to the organization that the assistant has real authority. The message the executive should convey is, “I trust this person to represent me and make decisions.”
Well, in this century, not every executive is well-suited for this type of delegating. Younger managers in the digital era have particularly grown up with technology that encourages self-sufficiency and have become so accustomed to doing their own administrative tasks.
Whilst so, it is important to have solid and constant communication with the assistants. These managers should think of assistants as strategic assets and realize that part of their job is managing the relationship to get the highest possible return.

Are you performing your roles?

Would you say that this is a throwback? In their zeal to cut administrative expenses, many companies have left countless highly paid middle and upper managers to arrange their own travel, file expense reports, and schedule meetings?

Some companies may be drawn to the notion of impartiality, where they believe that ideally an assistant-less structure which portrays a good picture of cutting costs. What becomes consoling is being confined to the practical theory of “we’re all in this together” or ideologies of good leadership displayed right in front of them. Some tend to think an ideal leadership spirit has been created.

But, what runs through your mind when;
Your boss loads paper into the copy machine,
Typing a whole manuscript report and designing presentations,
Make his own booking and reservation,

well some would go easy with the fact that its online and everything is user friendly.

It hardly makes economic sense when the management practice embrace the assistant-less structure.

Generally speaking, duties should always be delegated to the lowest-cost employee who can do it well.

That does not mean that their payroll should not matter, however companies overlook the fact that without these professionals they end up forcing top talent to misuse their time.

As an executive assistant, I’ve worked with many organizations suffering from the same problem;

There’s too much administrative work and too few assistants to whom it can be assigned.

5 KEYS FOR SUCCESSFUL VIRTUAL ASSISTANT

1. Be trustworthy, since the virtual assistant is far away and is physically absent, a higher degree of trustworthiness is to be expected. Trust is proven to be a valuable currency in the professional field and is even more so in personal relationships.

2. Set up effective systems for communication. Ideally it is important to keep a track of your projects. Being consistent in communication and adapt reliable communication systems with your team and clients. Key thing is to know what is happening at any given time of that project.

3. Set tasks and specific deadlines. Have a clear and precise overview of the goals. Agree on specific periodic reports to monitor your progress, this will also help your team understand what you do, how to do it and expectations.

4. Set aside time each day or week specifically for project management. Failing to plain is planning to fail! Schedule appointments and reminders for any follow ups to be done. Plan your next task.

5. Be reliable; think of your relationship with your VA team and clients as collaboration. Don’t just be task performers but treat your clients as an invaluable part of your team and work together to achieve goals beyond their expectation and satisfaction.
