Project Overview
DDP is implementing a project on infrastructure and socio-economic development of Dudi community, Homa Bay County in partnership with Welthungerhilfe (WHH). The objectives of the project include:
1. Support Infrastructure development for Ranena Primary School in Dudi, Homa Bay County.
2. Construction of Bore hole infrastructure, water installation and storage systems (WASH) for the community of Dudi.
3. Land Rehabilitation, Reforestation and Conservative Agriculture to boost food security and nutrition.
4. To support construction and sustainability of a local health facility / dispensary in Dudi community.
5. Sponsorship and empowerment of youths and women and the vulnerable in the community.
Job Description
The Project Officer will support implementation of activities of the project, as indicated in the project proposal and log frame. S/he carries out tasks in support of project development and implementation and provides administrative support to project management processes.
• Specifically, The Project Officer is responsible for the administrative processes and project support functions in projects.
• S/he organizes project activities and meetings being responsible for the management and implementation of the logistical arrangements and follow up.
• S/he compiles and prepares inputs to meetings, project reports, presentations and communication materials and processes activities in support of recruitment and procurement actions as well as managing and keeping records of contracts with contractors and other project documents.
• S/he is responsible for maintaining project’s filing system (Procurement, Financial and Programmatic).
• The Project Officer works under the supervision of the Project Director, ensuring a smooth and timely delivery of project activities under the Project’s operational, financial and procurement plans and collaboratively with all members of the Project Team in DDP and donor organizations.

Tasks and Responsibilities
1. Project Implementation
• Assist in implementation of project activities in accordance with the project proposal and log frame, operational plan, financial plan and procurement plan.
• Prepare administrative documents, collect and compile inputs to documents.
• Draft routine correspondence for project implementation.
• Prepare inputs to implementation processes such as procurement, recruitment of support staff, procurement and contracting.
• Collect, compile and organize background materials, documents and other materials for meetings.
• Compile project narrative and financial reports and presentations.
• Provide support to the organization of workshops and meetings being responsible logistics planning, bookings, meeting facilities and accommodation, catering, participant lists, DSA calculations and any other logistical support as required.
• Maintain the project filing system.
• Compile and prepare inputs to PR and liaison materials as required and support implementation of project-related communication activities.
• Perform any other duties as required.
2. Project Formulation
• Provide inputs to formulation of project proposal and documents for new projects.
Key Results
• Administrative and logistical support activities implemented promptly, accurately and efficiently and in line with donors and DDP requirements and procedures.
• Project implementation supported by efficient and timely support to organization of activities.
• Project formulation supported by timely and correct preparation of supporting documents.
• Project filing system efficiently maintained.
• Procurement and recruitment processes implemented timely and in line with donors and DDP requirements and procedures.
Additional Skills
• Good organizational skills with attention to detail and accuracy.
• Experience in managing conflict priorities and working with tight deadlines.
• Strong teamwork and interpersonal skills.
• Adaptability and flexibility.
• Excellent command of standard MS-office software.
• Knowledge of finance reporting systems in an asset.
• Proficiency in verbal and written English and Kiswahili.
• Proficiency in language of the duty station is an asset.
