- Superior/Supervisors: Executive Director / Finance Director (FD)
- Purpose of the position: Office Management and accounting, Communication with counterparts and interested parties as well as assistance to the ED, FD, & consultants in all project related issues
- General Office Management:
o Maintaining a database of business contacts;
o Filing of general and project documentation (electronic documents and hardcopies);
o Autonomous procurement of materials and expendables needed for the office (in the frame of the resp. budget line);
o Arrange meeting and meeting appointment
o Maintaining the Projects Calendar and time line;
- Telephone Service and communication with counterparts and partners:
o Answering incoming phone calls;
o Connecting requested respondents with the requested recipient;
o Autonomous phone calls, requests and information gathering;
o Checking correspondence and readdressing it to the right recipients;
o Informing the ED and FD immediately, if the situation requires it;
o Writing/Typing of written correspondence in Khmer and English;
o Arrangements of Meetings;
o Writing protocols, meeting notes and memos;
o Setting up and maintaining a telephone log of in-coming and outgoing calls;
o Setting up and maintaining a Correspondence inward and outward log;
o Setting up and maintaining an e-mail log;
o Daily checks of e-mail accounts.
- Accounting:
o Maintaining the firms accounting and registering transactions with help of appropriate software (Excel, quick book or Peachtree).
o Filing receipts and preparing monthly tax declarations. Archiving all accounting records and receipts for audits;
o Preparing financial audits
- Banking operations and payments (in coordination with the ED or FD):
o Withdrawal of money from the projects account;
o Payment of running costs against receipts (f. e. rental fee, power supply, office supplies, project costs, phone costs, transport ....);
o Responsible for a petty cash book.
o Preparing bank transactions incl. for monthly tax payments.
- Assistance of the ED and FD:
o Backing of the ED and FD at meetings with partners and counterparts;
o Interpreting during meetings and talks;
o Preparing meetings of the board, with clients, partners and consultants.
o Minute keeping of meetings as required (writing protocols and meeting notes).
o Minor translation and interpretation
- Others:
o Internet research;
o Updating PRIs website and page;
o Preparation of presentations (depending on the professional level achieved);
o Protocol issues;
o Other tasks assigned by supervisor
- Equipment: Hard- and software needed, e.g. Computer, Printer, Scanner, Telephone, and Internet connection, Office Software, Office materials.
- Qualifications: Good Communication skills, good behavior and manners, knowledge of protocol issues will be an asset
- Experience: Experience of work in comparable positions will be an asset
- Specific knowledge and skills: Good knowledge of English. Translation and interpreting skills. Computer literate. Accounting and tax issues.
