Focus on the fundamentals. Start by:

1- Identifying your critical information: What data is essential for your business operations? What information do you need to make informed decisions?

2- Establishing clear ownership: Who is responsible for creating, maintaining, and securing each type of information?

3- Implementing basic controls: Put in place simple measures to protect your information, such as access controls, version control, and regular backups.

4- Improving findability: Make it easy for people to find the information they need. Use clear naming conventions, metadata, and a well-organized information architecture.

5- Promoting a culture of information stewardship: Encourage employees to value and protect the organization's information assets.

By focusing on these core principles, you can build a solid foundation for effective information management without the need for complex and costly solutions.

It took me 5 years to understand this, but I’ll teach it to you in 2 minutes.

Lesson 1: Information chaos happens when you don’t plan for growth. A folder structure that works today can become unmanageable tomorrow. Plan for scalability from the start.

Lesson 2: Retention rules are non-negotiable. Holding onto everything creates clutter. Deleting the wrong thing creates risk. Knowing what to keep and for how long is critical.

Lesson 3: Information management is less about tools and more about discipline. Even the best software fails if your team doesn’t follow a consistent process.

Lesson 4: Poorly managed information costs more than you think. Missed deadlines, duplicate work, and compliance risks all add up. Fixing the system pays for itself.

Lesson 5: Clear access rules build trust. Teams need to know who can view, edit, or delete files—and why. Ambiguity leads to mistakes or conflicts.

Once I learned these lessons, everything changed. Better systems, smoother collaboration, and fewer headaches.
