Secretary / Personal Assistant to the Executive Director

We are looking for a Secretary/ Personal Assistant to support the executive director to roll out his functions organized and professional manner.
Roles & Responsibilities
• Reporting to executive director and performing secretarial duties
• Answer phone calls and redirect them when necessary
• Arranging and scheduling appointments, meetings, and events
• Assisting with copying, scanning, faxing, emailing, note-taking, and travel bookings
• Prepare and disseminate correspondence, memos, and forms
• Processing, typing, editing, and formatting reports and documents
• Develop and maintain a filing system
• File and update contact information of employees, customers, suppliers, and external partners
• Monitoring office supplies and order replacements
• Document expenses and hand in reports
Qualifications & Experience
• High School Diploma or GED
• Formal qualification in office administration, secretarial work, or related training
• 3-5 years’ work experience as a Secretary or Administrative Assistant
• Excellent communication skills in both written and spoken English, Sinhala
• Strong IT skills are a must. (Email, Internet, MS Office, etc.)
• Time management skills, including the ability to efficiently multitask when necessary
• Exceptional filing, recordkeeping, and organizational skills
• Working knowledge of printers, copiers, scanners, and fax machines
• Proficiency in appointment scheduling and call forwarding systems
• Ability to correspond independently
• Ability to follow confidentiality guidelines
• Ability to liaise internally and externally on administrative matters
• Team player with a pleasing personality
• Professional manner and strong ethical code
• Living within close travelling distance to Colombo is preferred
