The busiest person in your business shouldn’t be you, it's turning you into a bottleneck.

You take a look through your task list, nothing is ticked off yet you know you have worked on them, but then realise you have so many incomplete tasks. You start one thing and then get distracted and start something else, you can only focus on the mental load not on the tasks.

No one questions the motivation you have for your business but continuing to manage reactively isn’t going to support you or your business. Without being able to stop and focus on some kind of forward strategy you will burn out and sadly you and your business will suffer.
Operational support is no longer a maybe or an option for your business, it's become a necessity that will help you to stop doing everything and focus on growth.

Starting with a new client the first thing we need to establish is exactly what needs supporting and what the client would like to achieve as an end goal. So we sit and plan what they would like to see happen in the first 3 months of working together. It’s a simple thing but it gives the client more breathing space and she can focus on what she needs to do in the business, not what the business needs every day.

Within a few days of having support the client was able to focus, they realised that they now have the breathing space to be able to work on more ways to grow the business. She even started to think about being able to take a few days off, the mental load had shifted with the help of strategic support.

She had more presence in her business and more capacity to think and create, which is what she should be doing. No more emotional and reactive days just focus and calm.

You’re the admin, customer support, content creator and business owner - aren’t you supposed to be a coach?

You always find yourself creating content late at night, no planning and editing reels at bedtime. Switching tasks and never quite finishing anything are unfortunately becoming one of your specialities.

You think that managing your time more efficiently will help you and as a business owner you still think that you should be doing it all. But being stuck in every part of the business isn’t going to help, you are maintaining everything and that will never help you to focus on growing the business.

The fear of half term reminds me why I enjoy routine and having structure in what I do.

Half term is coming which means another week of refereeing arguments and handing out snacks. But it also means a week of having the kids about and making family memories.

It always takes me a while to settle into the holidays as I’m so used to having this routine, but all of a sudden I become aware of the disruptions, I feel like I may forget things and react very differently. Once I’ve settled I realise that the structure I have isn’t about strict schedules, it's all about using the structure to make life and business easier.

We didn’t add to the mental load, we simplified it to add that bit of breathing space.

With scattered notes and reminders everywhere, you are mentally carrying all the tasks and the business. You are tired of reacting to everything and need to stop and take a breath for a change.

Your customers and client base is important and it worries you that you will forget one of them or forget something you need to do. The overload of information is a massive burden and is exhausting. You need some time to switch off, take a breath and find the calm that will allow you to create the headspace you need.

Seeing a client who was previously drowning in post it notes and can now breathe after we sit down together and make very simple changes to her work flow means I am doing something right. Taking away the worry of forgetting to contact a client, by centralising one place for all the information is the perfect way to remove the overload so that clarity can be restored.

When clients are willing to simplify they are onboard with your suggestions and trust the process you are implementing. They understand that overcomplicating isn’t going to support the business and simplifying is the way to go forward.

The relief of not worrying any more means that my client has had extra clarity and been able to focus better on her work. Calmer days, motivational post it notes instead of ones with tasks on, and decisions feel easier.

Being more organised won’t fix the chaos, your colour coded planner isn’t the problem.

You have reminders everywhere and you screenshot everything as a way to remember to do something. Writing your to-do list 8 times a day isnt just about organisation, you may feel organised, but its you either ignoring the list (head in the sand) or surviving, rewriting your list is your way of getting it to sink into your brain so its something else to remember.

Your business at the moment relies on you remembering what you need to do and unfortunately adding a new colour to your planner won’t help you to declutter what’s going on in your brain.
Memory isn’t a system and reminders aren’t a substitute for a structured workflow, it’s time to stop thinking about working harder and implement a structure that doesn’t involve post-it notes.

If you are attached to your notebook, that's fine (I am to mine, it goes everywhere with me). Use it for your to-do list but just make 1 list for the week, visual points that you can check off are great motivators.
Everything needs a place and this includes information and your notes, start small and build in this simple structure to centralise all your tasks and information. Seeing all the points together will help when it comes to decision making and task allocation.

With clients we look together at the processes and simplify what we can, it's great to see the difference small changes can make and it's then that the client realises that they have been carrying everything. Removing the scattered information and giving everything a place to live does wonders for the clients mental load.

Clearer thinking and more head space lead to calmer work days and as a busy coach this will allow you more time and mental capacity. You can work with your 1 to 1 clients or start on the new course you have wanted to create for weeks.

Structure creates calm, but right now your business feels the opposite.

Every day you rewrite your to-do list which is fine as there will be new tasks to add but when you rewrite it in the afternoon too that may be a bit much, and don’t your reminder notes increase your blood pressure?
Your voice notes, screenshots and need to constantly check messages must be exhausting, you must be screaming inside. You don’t even switch off properly at bedtime as you remember something you had forgotten to do.

You seem to think that you need to work harder and that will help clear the reminders and the to-do lists but is working harder really the solution. You will clear one reminder and add another, so your mental load never really clears. It’s time to switch up your processes and move out of your brain which you know doesn't work as a good management system. Working harder isn’t sustainable, work flow will support your sustainability and your work load.

When I say systems, I’m not talking about anything complicated or fancy. I am talking about work flow and structure, something that will support your brain. Something that will let you close some of your tabs and centralise all those reminders you have.

Once the information has a place, you won't have to remember everything all the time. This is something that I work on first with my clients, creating a structure that supports them and their business.

Days are calmer and business is clearer. You can now spend your day creating courses and working with your clients rather than writing another to-do list. You work with your systems rather than react against them and your clients love the calmer you.

With conversations losing momentum and you feeling so overwhelmed by your inbox, we had to make some simple structural changes so your customers replied and your inbox was less of a worry.

Before we made the changes, the client always started replying to her emails and messages late at night, she found she was being reactive with her replies and they had no purpose. Her worry was that her customers would feel ignored so replied for the sake of sending something which wasn’t ideal

The solution we put together was simple but it provided the exact support that my client needed. I had to make it clear that it really isn't about just answering messages. You need to

1. Reply with intention making sure that you guide the customer.
2. Each message needs a direction, next steps are needed for the customer to know what to do.
3. It’s easily forgotten but you must have a follow up process, keeping the momentum going on the conversation is really important.
4. Replying with confidence, rather than reacting with a reply.

You always have to remember that the customer needs to know what to do next and you have to guide them to that point.

My client trusted the process, she knew that reacting late at night rather than replying with intention wasn’t working. Instead of overthinking an essay that the customer ignored, she embraced the less is more theory and answered with intention. With more confidence, my client was able to keep the conversations going, the communication was easier and rather than feeling ghosted by her own customers she felt more connected.

What a great start to the day a new connection is interested in your coaching. You send them an excited over-explained voice note followed by a long typed paragraph with the booking link, finally you ask if they have any questions. A week or so later you think about that same connection and notice they didn't sign up and the conversation just went quiet.

Giving the customer as much detail as possible in one voice note will sound a bit rushed and unstructured. Confusing the customer rather than guiding them is not what you need, it's not about sounding too salesy or a necessity to explain everything in one paragraph. There is no direction, structure or momentum and without them will the customer understand what they need to do next?

Before answering your messages you need to stop and breathe and try not to get carried away and excited, remember that less is more, less over-explaining will give your customers more.
Guiding a customer with intentional replies and clear next steps provides the structure that's missing from your communication. Being calm, strategic and asking the right questions is what your customer needs, leading them towards the right conclusion.

Most clients realise that they can be excitable and rush into answering but this is where I slow things down. Working together we manage the message flow and highlight where the issues lie and the conversation drops off. When the lead is overwhelmed with information the conversation slowly loses momentum. Intentional messages keep that conversational flow and your communication instantly shows more confidence.

With intentional communication conversations will feel easier, messages are clearer and existing leads are replying. They are able to make informed decisions with the information they have been provided and you are calmer and feel far more in control.
