Here's Why AI is not working for You as a Finance Professional

There is a reason you tried using AI for your accounting work, and got a generic answer that's not particularly useful to you or your client.

​You treated it like casual search engine.

​Most finance professionals open ChatGPT or Claude and type something like: "Analyze this profit and loss statement and tell me what is wrong."

​That is a search query. It works if you are looking for a recipe, but it is terrible for financial analysis.

​If you want real, usable results, you have to stop asking questions and start building strict commands/prompts.

​Here's a practical example.

Let's assume that you have a Trial Balance and you need to write a variance report for management.

​Don't type this after uploading your data- "Why did our expenses go up this month?"

AI will just state the obvious: "Your expenses went up because travel and office supplies increased." This is not particularly useful for a professional setting.

​Here's the Right Way:

You need to give the machine a proper framework.

​Role: "Act as a Senior Financial Accountant."
​Context: "I am providing a sanitized Trial Balance for March and April."
​Constraint: "Focus only on the 'Administrative Expenses' category. Ignore everything else. Identify any individual line items that increased by more than 15%."
​Output: "Draft a professional, three-paragraph email to the CFO explaining these specific variances. Do not use complex AI jargon."

​Do you see the difference?

​AI does exactly what you tell it to do.

If you give it vague instructions, it gives you vague results.

But when you define the role, the context, the limits, and the exact format you want, it goes professional and give actionable insights.

Don't do these 5 things if you’re using AI as a finance professional

Imagine an auditor asking how you arrived at a specific figure, and your only defense is, "The AI generated it."

​That is a conversation you never want to have.

​Right now, everyone is rushing to use AI to cut down their working hours.

But handing a powerful tool to a professional without strict boundaries won't automatically make you better, it will just help you make mistakes at scale.

​If you are incorporating these tools into your daily workflows, you have to pay extra attention to its processes and outputs. Pay attention to the following:

1. Do not leave out the accounting framework.
If you are asking for advice on accounting treatment, explicitly state the standard.

Tell the machine, "Apply IFRS 16" or "Use the current local tax regulations." If you don't define the rules, it might give you US GAAP by default.

2. Do not assume the AI knows your company's history.
The machine does not know that your board rejected a similar financial proposal three years ago.

It does not know your company's risk appetite. You have to feed it that historical context if you want it to help you with strategic advice.

3. Do not ask vague questions to get specific answers.
"Analyze this data" is a terrible prompt.

Instead, be precise:- Identify any administrative expenses in this Trial Balance that increased by more than 15% and draft a 3-paragraph explanation. Precision dictates the quality of your output.

4. Do not skip documenting your process.
If you use AI to build a complex financial model or draft a compliance policy, note the prompts and logic you used to get there.

If a regulator or auditor questions the methodology six months later, you need to be able to retrace your steps.

5. Do not forget who signs the document.
AI does not have a professional license.

It does not answer to a regulatory board. You do.

Use the machine to do the repetitive, time-consuming work, but the final strategic review and professional judgment must always come from you.

Always ensure that you protect yourself and your clients when using AI.

There is a massive difference between using AI to work faster and using it recklessly.

As finance professionals, our entire career is built on accuracy, compliance, and confidentiality.

The tools are incredibly powerful, but if you use them without boundaries, you risk your professional reputation.

If you are integrating AI into your workflows, here are the 10 absolute "Don'ts" you must follow:

1. Do not upload raw, sensitive data.
This is the fastest way to breach professional confidentiality.

Never put real client names, TINs, or exact bank account numbers into a public AI tool. Always sanitize your data first.

Replace "Company X" with "Client A." Protect the client, then process the data.

2. Do not treat AI like a search engine.
AI is not Google. If you type, "How do I do a month-end close?" you will get a generic textbook answer.

You must build a command/prompt. Give the machine strict context, constraints, and a specific professional role.

3. Do not blindly trust the math.
Language models are built to predict words, not to act as calculators.

While their data analysis capabilities are improving rapidly, you must always cross-check the final figures.

I agree that Claude and GPT are heavy on computations. You still have to ensure accuracy of outputs.

4. Do not copy and paste without reviewing.
If left unchecked, AI has a very distinct, robotic tone.

It loves to use overly complex words that real humans rarely say, except for human dictionaries.

Always read the output and adjust it to sound like a natural, firm professional before sending it to a client or your CFO.

Better still, guide it to write like you.

5. Do not start with your most complex process.
Trying to automate an entire group consolidation on day one will frustrate you.

Pick one small, repetitive task first, like drafting a variance explanation or categorizing a large dataset of petty cash receipts. Master the small workflows first.

Always ensure that you protect yourself and your clients when using AI.
