Nr.12 Utilisation imperfection. The last rule of Thumb for now!

Meeting areas have a certain capacity; a number of chairs that supposed to fit with the number of people using the space. Unfortunately, in almost all meeting areas there is an utilisation imperfection. There are fewer people using the space than its capacity. The larger the capacity, the less effective the space is utilised.

Even for spaces with a capacity for 5 people we see strong utilisation imperfection. Only 2,5% of the time there are exact 5 people in this space. While for more than 40% of the time there is only one person using this space, hybrid working has also contributed to this trend.

Nr.11 Activity Symmetry

Workdays have a rhythm, and interestingly, our data of hundreds of projects shows this workday rhythm has a symmetrical pattern. From individual work, to meetings, to breaks, to meetings, to individual, and going home again.

This pattern also causes peak occupancy in the meeting areas around lunch, and desks in the morning and late afternoon. Influencing these rhythms can improve effective occupancy. In our blog we talk more about it: https://hubs.la/Q026nMy_0

Nr 10: Eye candy emptiness

A few comfortable seats positioned at the entrance at the office or in an open space somewhere around the hallway. They look nice, but are not really useful for the people who work there. They are not suited for private conversations, you can't use your laptops, and are prone to a lot of environmental noise and distraction.

Altogether, this causes for very low occupancy of these spaces: 11%. If one should take away some spaces, it should often be these ones, even though they look nice. However, some also function as a waiting room for guests, so be aware of your office use before making major decisions.

Rule of Thumb #9: 2/1 seat ratio

At our projects of asset inventories and Observation studies, we noticed this general Rule of thumb: a 2 to 1 seat ratio. For each person, there are 2 seats available. Without being aware of it too much, many people use multiple seats across the day. From the desk, to a meeting room, to the restaurant, to a focus space, there are usually multiple seats for one person available, about 2 to 1.

They often also occupy 2 seats. In an earlier Rules of Thumb, we shared the 1/3 signs of life fact. People both occupy their desk as well as a seat in a meeting room when having a meeting. So each office, without any policies in regards to this, needs quite some seats.

Since the pandemic, hybrid working has taken over with people working from home a few days in the week. This causes for lower occupation rates, and this has the strongest effects on the Friday.

With only 18% occupancy on a normal Friday, it seems that most people have a "From Home Friday" in their mind. People often have activities on Thursday and Friday evenings, and working from home on Friday might make it feel like a longer weekend. Monday's for example, are also relatively low in occupancy rates.

1/3 Signs of life!

In todays Rules of Thumb: 1/3 signs of life for each desk. In all our Workplace observation studies, we found this average for each individual desk. When a desk is occupied, one third of the time there is no one physically present but there are signs of life; an unlocked computer, a jacket on the seat, a coffee cup on the desk, etcetera.

People are about 25% of their time in meetings, go for bio-breaks, lunch and other activities that pulls them away from their desk. But most people like to keep their desk "occupied", to have an easy return. Together, this accounts thus for 1/3 of what the desk is used for, when occupied. Quite a lot in our opinion!

Measuremen's Rules of Thumb for Workplace Management nr 6

Duo desking
Duo desking is a common phenomena and import signal for any workplace manager. It's the occasion where two people use one desk, resulting in an utilisation of 200%. Duo-desking happens often when two people do a shared task at a computer. This can be a nice activity for the people involved, but it can also distract many colleagues around. It's a form of collaboration that often occurs in a space for individual work.

If Duo desking happens often at your office, it might be that you lack fitting spaces for two people to work together with a suitable computer. The place(s) where files and document can be accessed also influences the occurrence of duo desking. If people store their data on the physical computer, they are less inclined to move to other spaces and are almost forced to duo desk.
