Job Summary: The suitable candidate will play a crucial role in overseeing the daily operations of the office and managing the President’s activities. The ideal candidate thrives under pressure, adapts quickly to changing priorities, and possesses a strong background in both marketing and administration. Experience with sales or HR tasks is a plus. Candidates must be comfortable working in Eastern Standard Time (EST) and demonstrate a commitment to long-term growth with our organization.

Key Responsibilities:
- Oversee daily operations, ensuring that tasks and projects are on track and deadlines are met.
- Manage the President’s calendar, scheduling meetings, appointments, and travel arrangements with precision.
- Draft, review, and edit correspondence, reports, and presentations efficiently.
- Conduct research and gather information to support decision-making and marketing strategies.
- Assist in developing and implementing marketing campaigns, including social media management and content creation.
- Edit videos for marketing and internal communications, ensuring high-quality production.
- Monitor and analyze marketing metrics to evaluate the effectiveness of campaigns.
- Serve as a point of contact for internal and external communications, prioritizing responses effectively.
- Organize and maintain confidential files and documents with discretion.
- Assist with HR tasks, including onboarding processes, maintaining employee records, and coordinating training sessions.
- Assist with project management and coordinate special initiatives under tight deadlines.
- Prepare meeting agendas, take minutes during fast-paced meetings, and follow up on action items.
- Support the President in various administrative tasks, adapting to shifting priorities.
Qualifications:
- Excellent work ethics
- Proven experience as a virtual assistant or in an administrative support role, preferably for senior executives.
Strong proficiency in:
- Microsoft Office Suite (Word, Excel, PowerPoint)
- Google Workspace (Docs, Sheets, Drive)
- Canva for graphic design, video editing and presentations
- Go High-Level as a CRM
- Social media management tools.
- Video editing software (e.g., Canva, Adobe Premiere Pro, Final Cut Pro, or similar)
- Project management tools (e.g., Trello, Asana)
- Familiarity with HR processes and tasks is a plus.
- Excellent organizational and time-management skills, with a track record of managing multiple tasks simultaneously.
- Strong written and verbal communication skills, with the ability to convey information clearly and concisely.
- Ability to work in teams and independently, take initiative, and remain calm under pressure.
- High level of discretion and confidentiality in handling sensitive information.
- Comfortable working in Eastern Standard Time (EST).
