Every career starts with a decision to grow.

Today, I'm proud to share that I've completed my Virtual Assistant training, marking the beginning of a new chapter in my professional journey.

While I'm new to the Virtual Assistant industry, I bring something that can't be learned overnight—over 10 years of customer service experience. Throughout my career, I've helped customers, processed high-volume orders, resolved complex concerns, managed billing inquiries, and consistently delivered accurate, reliable support.

That experience has shaped how I work:

Listen to Understand, Not Just to Respond

One of the biggest mistakes new VAs make during interviews or discovery/consultation calls is focusing too much on what they will say next.

While the client is talking, they’re already thinking:

❌ “How should I answer?”

❌ “How can I impress them?”

❌ “What service should I offer?”

As a result, they miss important details.



What Does “Listen to Understand” Mean?

It means your goal is not to prepare your next answer.

Your goal is to truly understand what the client is saying, feeling, and experiencing.

Think of yourself as a detective.

Don’t just listen for tasks.

Listen for problems.



Example

A client says:

“I’ve been working late every night just trying to keep up with emails.”

A VA who listens to respond might say:

“I can manage your emails.”

A VA who listens to understand might ask:

“That sounds exhausting. What tasks are taking up most of your day?”

See the difference?

The second VA is trying to understand the bigger problem before offering a solution.



Why Is This Important?

Sometimes clients tell you the task.

But what you really need to discover is the problem behind the task.

For example:

Client says: “I need help with scheduling.”

What they might really mean:

👉 “I’m overwhelmed.”

Client says: “I need a VA.”

What they might really mean:

👉 “I’m doing too much by myself.”

Client says: “I need someone reliable.”

What they might really mean:

👉 “I’ve hired people before and got disappointed.”

The more you understand the real problem, the better you can help.



A Simple Rule: Talk Less, Listen More

During interviews or consultation calls:

🗣️ Let the client talk about 70% of the time.

👂 You talk about 30% of the time.

The more the client talks, the more information you gather.

And the more understood they feel.



Questions You Can Ask

Instead of immediately talking about your services, try asking:

* What made you start looking for support?
* What tasks take up most of your time?
* What is your biggest challenge right now?
* If you could remove one task from your plate today, what would it be?

These questions help uncover the real problem.



The Secret

Clients don’t hire the person who talks the most.

They hire the person who understands them the best.

When people feel heard, they trust you.

And when they trust you, they’re more likely to hire you.

Remember:

Listen less to answer.

Listen more to understand.

Because sometimes the real problem isn’t what the client says—it’s what they’re trying to tell you underneath their words.
