Job Description:
We are seeking a highly organized, proactive, and resourceful Executive Assistant to support our US-based client. The ideal candidate will be responsible for handling a variety of executive and administrative tasks, ensuring smooth day-to-day operations, and providing reliable support for both business and personal matters.
The Executive Assistant will play a key role in managing schedules, coordinating travel, conducting research, posting job openings, and assisting with content creation. This is a long-term, full-time opportunity for someone who can work independently, manage competing priorities, and maintain confidentiality at all times.
Key Responsibilities:
• Manage and organize the executive’s calendar, including scheduling meetings, appointments, and events.
• Book domestic and international travel arrangements, including flights, accommodations, and itineraries.
• Draft, proofread, and edit correspondence, documents, and presentations.
• Conduct Google research and compile reports or summaries to support business decision-making. • Post job ads on recruitment platforms and assist with basic candidate coordination. • Assist with light content creation tasks (e.g., social media posts, blog drafts, presentation materials). • Maintain filing systems, records, and databases in an organized manner.
• Handle confidential information with discretion and professionalism.
• Monitor and respond to emails, ensuring timely communication.
• Support project coordination and follow up on action items.
• Perform other administrative and operational tasks as assigned.
Qualifications:
• Minimum 1 year of experience as an Executive Assistant, Virtual Assistant, or in a similar administrative support role.
• Strong written and verbal communication skills in English.
• Experience with content creation or basic marketing tasks is a plus.
• Proficient in Google Workspace (Docs, Sheets, Slides, Drive, Gmail, Calendar).
• Strong research and organizational skills, with excellent attention to detail.
• Ability to work independently, manage multiple priorities, and meet deadlines. • Proactive problem-solver with a high level of professionalism. • Reliable, adaptable, and committed to long-term employment. Preferred Skills:
• Familiarity with project management tools (e.g., Trello, Asana, or ClickUp). • Knowledge of social media management or basic graphic tools (e.g., Canva). • Prior experience supporting US-based executives or clients.
