The newly developed General Services Information Management System (GSIMS) is now ready for production as an extension of the Procurement Management System (PMS).

The Procurement Management System is used by the Bids and Awards Committee (BAC) for the preparation of PPMPs and Purchase Requests (PR) for end users, as well as Bidding Documents (RA 12009), scheduling, and system-generated resolutions for bidding results. It also generates abstracts and supports the entire process up to contract preparation (Contracts/POs)—all system-generated.

The system also empowers prospective bidders to view BAC advertisements through the website, generate Orders of Payment, pay online, and access official bidding documents (RA 12009).

Now, with the newly developed GSIMS, awarded contract data can be seamlessly transferred to the General Services Office—reducing encoding and eliminating the need for data re-entry of contract details. This enables the office to establish a reliable database for future use.

Soon, we will be Implementing the Online Preparation of Purchase Request in part of the Module of WebBased Procurement Management System.

This will cut the process of Encoding the Purchase Request Prepared by the End-User into our database.

Expected time to save will be in average of 15Mins/Purchase Request before forward to our Technical Working Group for checking and Preliminary Evaluation of documents.

P.S Also the Online Warehouse Inventory (for Proposal) is under testing which we are eyeing to finish the TESTING/Debugging by Late July or Early August. This will be a great help for end users to check the current available stocks in the warehouse and verify items that are delivered against Purchase Order.

In compliant to the Philippine Bidding Documents 6th Edition on Availability of Bidding Documents Online ready for download by our Prospective Bidder; The Procurement Management System is now ready.

Starting this April 2021, the said bidding documents will be available thru Online and ready to download. This will also give ample time to our prospective bidder to review the project and decide will or not to participate the said Project Bidding.

Hence; for controlling and monitoring purposes, suppliers need to visit the office for Order of Payment with Barcode and be attached to the First Envelope in Dropping of Bidding Documents.
