Here's what a real Medical VA morning looks like — no aesthetic exaggeration:
US TIME:
✨ 5:45 AM — Wake up. Coffee. (Non-negotiable.)
✨ 6:00 AM — Check overnight emails from US clinic
✨ 6:30 AM — Update patient appointments in EHR
✨ 7:30 AM — Insurance verification batch (3-5 patients)
✨ 9:00 AM — Quick break, breakfast with family
✨ 10:00 AM — Patient follow-up calls/messages
✨ 12:00 NN — Lunch + nap (yes, I nap. Fight me. 😴)
✨ 2:00 PM — Admin documentation, charting
✨ 4:00 PM — End-of-day report to client
✨ 5:00 PM — Logging off. Family time. 💕

This is my reality.
Not "laptop on the beach in Bali."
Not "I make 6 figures from my phone."

Just consistent, focused work — on MY schedule — supporting clients I genuinely respect.

"Marijoy, I've applied to 47 jobs in 2 months. Zero replies. Should I quit?"

My honest answer: No. But you need to STOP what you're doing immediately.

Here's why 47 applications got 0 replies:

🔍 Problem #1: Spray and Pray
You're sending the same generic pitch to every job. Clients can smell it from a mile away. They want to feel seen — not like #38 on your list.

🔍 Problem #2: No Niche Clarity
"I do social media, admin, customer support, data entry, graphic design..." reads as desperate. Pick ONE thing you do BEST.

🔍 Problem #3: No Proof
If your portfolio is "I'll do anything" with no samples, you look like 10,000 other applicants. Mock work > no work.

🔍 Problem #4: Wrong Platforms
If you're only on OnlineJobs.ph, you're competing with 100k other Filipino VAs for the same jobs. LinkedIn + cold pitching changes the game.

Let me show you why.

❌ THE GHOSTED PITCH:
"Hi! I'm interested in this VA position. I have experience in admin tasks and I'm a fast learner. I'm available immediately and willing to be trained. Hope to hear from you soon!"

✅ THE HIRED PITCH:
"Hi Dr. Sarah — I noticed your practice is expanding into telehealth. As a Medical VA who's handled patient intake and insurance verification for 3 US clinics, I can take appointment scheduling off your plate within your first week. I've attached a sample patient intake workflow I built for a similar practice. When works for a 15-minute call this week?"

See the difference?

The first pitch is about HER.
The second pitch is about HIM — and shows proof, specificity, and a clear next step.

3 things the winning pitch does:
1️⃣ Uses the client's name + something specific about their business
2️⃣ Names a result, not just a task ("take it off your plate within your first week")

If these acronyms scare you, save this post — because every Medical VA needs to know them. 🩺

📌 HIPAA — Health Insurance Portability and Accountability Act
The US law that protects patient privacy. As a Medical VA, you'll work with PHI daily, so HIPAA awareness is non-negotiable.

📌 PHI — Protected Health Information
Anything that identifies a patient + their health info: name + diagnosis, address + insurance, etc. NEVER share, screenshot, or post this.

📌 EHR — Electronic Health Record
The full digital chart of a patient — across all providers. Think: lifetime medical history.

📌 EMR — Electronic Medical Record
The digital chart from ONE clinic. Less comprehensive than EHR but used interchangeably.

📌 Prior Authorization
When insurance has to approve a treatment BEFORE the patient gets it. Medical VAs often handle this paperwork.

📌 SOAP Notes
Subjective, Objective, Assessment, Plan — the format doctors use for visit notes.

Knowing the language = clients trust you faster. 🔑

5 things to do BEFORE applying for your first VA job 📝

Most beginners skip steps 2 and 4 — and that's why they get ghosted.

1️⃣ Pick ONE niche (not "I do everything")
General VAs blend in. Specialists get paid. Medical VA, Real Estate VA, E-com VA — pick one.

2️⃣ Build a portfolio (even with NO clients)
Create 2-3 mock projects. A sample patient intake form. A mock content calendar. A practice email response. Show what you CAN do.

3️⃣ Set up a professional email + photo
"[email protected]" won't get hired. Use your name. Smile. Look approachable.

4️⃣ Write your pitch ONCE — then customize per job
Have a base template. Personalize the first 2 lines for each application. Don't reinvent the wheel daily.

5️⃣ Know your rate before you apply
Don't say "negotiable" — that signals you don't know your worth. Research, then commit.

Bonus: Have a LinkedIn + Facebook profile that screams "professional VA," not "personal account."
