JOB TITLE: OPERATIONS OFFICER

The GeoInfometrics Solutions Corp. is looking for an Operations Officer of the Company. This is full-time work that requires regular reporting in the head office in Los Banos, Laguna, and must be willing to travel and work at the project sites when necessary.

Scope of Work:

The Operations Officer is responsible for overseeing and managing the daily operations of the GeoInfometrics Solutions Corp. This role involves ensuring efficient and effective business processes, supporting project management, maintaining quality control, financial management, and facilitating communication with clients, top management and employess to ensure the smooth ex*****on of projects.

Responsibilities:
1. Office Management:
o Oversee daily office operations to ensure a clean, organized, and functional working environment.
o Manage office supplies inventory and place orders as necessary.
o Coordinate maintenance and repair of office equipment and facilities.
2. Administrative Support:
o Provide administrative support to senior management and staff, including scheduling meetings, managing calendars, and handling correspondence.
o Handle confidential information with discretion and maintain the confidentiality of sensitive documents.
3. Communication and Coordination:
o Serve as the point of contact for internal and external stakeholders, answering inquiries and directing them to the appropriate personnel.
o Coordinate and communicate with other departments to ensure the smooth flow of information and collaboration.
4. Financial Documentation and Records Management:
o Maintain accurate and up-to-date records, files, financial records, ledgers, and databases.
o Prepare and manage budgets, expenses, and financial reports for review by external accountant.
o Prepare and facilitate payments of statutory benefits of employees (e.g. Philhealth, Pag-ibig, SSS)
o Prepare and file tax returns to BIR, ensuring compliance with local and national tax regulations.
5. Project Management and Client Relations:
o Prepare bidding documents, project proposals, contracts, and other documentation requirements for project deliverables and billing and collection, for review by top management.
o Meet with existing and potential clients to present and market potential projects and/or engagements.
o Represent the company in the bidding and negotiation of projects.

Minimum Qualifications:
• Bachelor’s Degree relevant to the job
• Preferably with at least 2-year work related experience
• Willing to travel anywhere in the country as required by the management and work.

-In-depth knowledge of environmental laws, regulations, and best practices.
-Proficiency in GIS and other relevant planning software is an advantage
-Strong analytical, organizational, and communication skills.
-Ability to work independently and collaboratively within a team.

Scope of Work:
The Planning Officer will work closely with Planning Team of the Company. The Planning Officer will be required to complete a range of planning projects as part of a team delivering full end to end or capacity-based services for public and private entities. The position requires motivated Planning Officer with experience in evaluating the full range of planning and development activities. The role requires liaising with both external and internal parties, negotiating/communicating with clients and communicating effectively with other members of the team.

Responsibilities:

• Conduct research, gather data and information needed in the development of planning projects.
• Provide technical backstopping to planning team and clients as needed in the implementation of project.
• Contribute to the drafting of plans and other deliverables of the assigned projects.

This role requires multitasking across a range of responsibilities, including scheduling, handling payroll and accounting activities, receiving and forwarding communications, and taking care of more general clerical duties. The main responsibility is to ensure the daily administrative procedures of a company run smoothly and efficiently.

Responsibilities:

• Make travel and fund requests for company project activities and company operations.
• Prepare payroll and make necessary payments for all employees’ statutory benefits and incoming invoices such as recurring expenses, office rent, internet and others.
• Manage the e-filing and payment system (eFPS) and file all tax returns.
• Maintain bookkeeping and prepare financial reports for external auditing.
• Prepare expense reports and office budgets.
• Manage and order new office supplies and make job order for repairs as needed.
• Assist in human resource management as per instruction of the top management.
• Create reports and memos and legal documents for manager and board of directors.
