We need an Administrative Officer to ensure the smooth running of the Iloilo IGM Group office, working both on a one-to-one basis with the executives, but also on a wider basis with internal and external clients.
As an Administrative Officer, you are in charge of the office’s daily operation and ensuring employee efficiency.
• Administrative functions
o Provide proactive administrative support by answering queries
from clients and employees.
o Maintain a company calendar and schedule appointments.
o Coordinate meetings, including preparation of documentation,
and Minute taking.
o Handle the procurement, asset, and supplies inventory.
o Assist payroll/accounting team and generate reports.
o Maintain the current filing and database system and
look for ways to improve current systems.
• Human Resource functions
o Prepare a metric and KPI report.
o Check and follow up daily deliverables of the employees.
o Monitor attendance.
o Support the continuity among teams by documenting and
communicating actions, irregularities, and continuing needs.
o Perform other functions as may be assigned by the Business
Manager from time to time.
Qualifications
Applicants must be graduates of a Management or Office Administration degree who can demonstrate the following:
• At least two (2) years of experience as an Administrative Assistant/Officer.
• Has a background in basic accounting processes.
• Analytical, proactive, and can thrive with minimal guidance.
• Problem solver and detail-oriented.
• Reliable, dedicated, and committed to work.
• Advance knowledge of computer operations and Microsoft Office
365.
• Ability to prioritize tasks.
• Excellent time management skills.
• Well-developed organizational skills.
• Attention to detail.
• Excellent verbal and email communication skills.
• Professional discretion.
