Position Title: Administrative Manager
Location: Dubai, UAE
Reports To: Director
Job Summary:
The Administrative Manager is responsible for overseeing the daily operations of the office, ensuring that administrative processes are efficient, and supporting the overall organizational structure. This role involves managing office staff, coordinating with various departments, and implementing policies to improve the workflow.
Key Responsibilities:
Office Management:
Oversee and manage the day-to-day operations of the office.
Ensure the office environment is professional, organized, and efficient.
Manage office supplies inventory and place orders as necessary.
Staff Supervision:
Supervise and manage administrative staff, including receptionists, clerks, and office assistants.
Conduct performance reviews, provide feedback, and support professional development.
Administrative Support:
Provide administrative support to senior management, including scheduling meetings, preparing reports, and handling correspondence.
Coordinate travel arrangements and itineraries for staff and executives.
Policy Implementation:
Develop and implement office policies and procedures to improve efficiency and compliance.
Ensure adherence to company policies and procedures.
Financial Administration:
Assist in budget preparation and expense management.
Monitor and report on office expenditures.
Communication:
Facilitate communication within the office and between departments.
Act as a liaison between the administrative team and other departments.
Event Coordination:
Plan and coordinate company events, meetings, and conferences.
Handle logistics and ensure events run smoothly.
Records Management:
Maintain accurate records, files, and documentation.
Ensure confidential information is securely stored.
Compliance:
Ensure the office complies with local regulations and company policies.
Handle legal and regulatory documentation.
Qualifications:
Bachelor’s degree in Business Administration, Management, or a related field.
Proven experience as an Administrative Manager or in a similar role.
Strong organizational and time management skills.
Excellent communication and interpersonal skills.
Proficiency in MS Office (Word, Excel, PowerPoint).
Familiarity with office management procedures and basic accounting principles.
Ability to handle multiple tasks and work under pressure.
Preferred Qualifications:
Master’s degree in Business Administration or a related field.
Experience working in the UAE or a similar region.
Knowledge of local business practices and regulations.
