Processes in companies rarely look the way procedures describe them. And once you start measuring them with productivity mining, you suddenly discover:
🔸 Teams use a dozen different applications, not just 2-3 “core systems”,
🔸 Meetings and emails consume more time than anyone expected,
🔸 Copy–paste is still part of daily work,
🔸 Workload isn’t balanced - not over a month, but day by day.

In the latest episode of AI Automation Dojo, Andrzej Kinastowski talks with Michał Kozubski about Process Discovery with KYP.ai and what it really delivers for organizations. We discuss how to use data to rebalance workload, uncover automation opportunities even where “everything was already automated”, and how to communicate with people so they don’t feel it’s about surveillance.

📍 Kraków | Just 2 weeks to go

Process Intelligence is becoming a key tool for understanding how work really gets done across organizations. More and more companies are using platforms like KYP.ai to gain visibility into time usage, team performance, and what activities truly drive value.

But data analysis is only the beginning. The real challenge starts when you need to act on the insights, deciding what to automate, where to simplify, and where to rethink the way work is done.

Join us in Kraków for a free, half-day event focused on exactly that. We’ll walk through how companies are using KYP.ai in practice with concrete implementation stories and insights from those who’ve already been through the process. You'll get a clear view of which decisions made the biggest impact on operational efficiency.

To close the day, KYP.ai will present the newest AI-powered features and share what’s next on the platform’s roadmap.

At this year’s ASPIRE's The Dragon’s Teeth, our CEO Andrzej joined Przemysław from ASPIRE Poland to talk about one thing: how to separate real AI value from the noise. Because while LLMs and AI agents sound like magic, here’s the reality:
🔸LLMs hallucinate: Andrzej shared a personal story where Google Gemini recommended 3 lawn mowers based on specific parameters - none of which actually existed. One brand wasn’t even sold by the store.
🔸Some agents are just people in disguise: Remember Nate? The AI-powered checkout assistant that raised $50M? It turned out to be hundreds of people manually filling out forms in the background.
🔸Real agent teams will come, but not yet: Fully autonomous AI agents coordinating with managers and each other? Maybe in 5–10 years. Not today.

So what can we do now?
We showed a working prototype we built at Office Samurai: CyberAgent ServiceDesk - a GenAI assistant and agent system that supports our internal IT team. What it actually does:
🔸Answers real employee questions using RAG-based search on internal documents and tells you where the answer came from.
🔸Avoids hallucinations (and admits when it doesn’t know).
🔸Performs real actions via micro-agents like resetting user passwords, adding and removing access.

The point? You don’t need a massive platform. Small, well-targeted AI agents can free up hours of admin time today, if you know what to automate, and how.

Huge thanks to ASPIRE Polandnd for the opportunity to participate and present at The Dragon’s Teeth!

💡 What happens when you give a team 24 hours to automate a real business process?
What started as a conference joke turned into a working production robot - still running today and saving 1.3 FTEs per month!

InPost, a leader in modern logistics, invited Office Samurai to a bold experiment:
Build an automation in 24 hours that handles scanned documents, unstructured input, and fuzzy data.

A joint team of developers and process experts used:
🔸 UiPath Document Understanding,
🔸 Generative AI (ChatGPT),
🔸 Fuzzy logic for intelligent matching.

Ten real test cases ran without errors and the bot went live. Since then, it has processed 13,875+ cases.
The takeaway? Automation doesn’t have to take months. With the right focus (and the right partner), you can deliver value in a single day.

The third edition of Samurai & Friends Conference is behind us.
Around 160 people came together to discuss how AI and automation work in practice and what really comes out of it.

In the new podcast episode, Andrzej and Dominik summed up the key takeaways from both days of the conference, including:

🔸 agentic automation and meta-prompting – where the real boundaries are today
🔸 email automation – why it’s still such a challenge
🔸 simple ideas that lead to major improvements
🔸 end-to-end process transformations and continuous improvement in practice
🔸 what MIT and McKinsey reports reveal about AI projects

At first glance everything seems fine, everyone in the team has their own tasks and responsibilities, and the workload looks evenly distributed. But once you start looking at how much work people actually have, the differences can be surprisingly big.

In this clip, we talk about how task mining helps make workload distribution visible without relying on guesswork. It is not about who looks busy, but about data that shows who is really overwhelmed with tasks and who has time to check their inbox every 15 minutes.

This is not just about fairness. It is also about building operational resilience. And it is still a topic that does not get enough attention.

Many companies think they know their processes. That they understand how their teams work. But once you start looking at what people actually do on their computers, the reality often looks very different.

Instead of analyzing ERP data, task mining looks from the user’s perspective: what they click, what they copy, where time is lost, and what workarounds they invent when the system crashes again. And the goal isn’t to monitor people, it’s to understand the work and eliminate waste.

In this episode, we explore what task mining really is, how it compares to process mining, and why so many transformation projects end with a report that never turns into action. We also share real-world examples (like sticky notes used as a workaround for slow systems), and take a closer look at KYP.ai, one of the most complete task mining platforms we've seen in practice.

If you're working in process improvement, automation, or just want a real picture of what your teams are actually doing, this episode is a straight-up dose of insight.

Samurai & Friends 2025 summary.
This was our third time bringing people together to talk about the real side of process work. AI agents, communication mining, continuous improvement, messy data, human-in-the-loop... plenty of honest conversations all around.

We had over 150 people in the room, 13 speakers, and 80 companies represented.

Big thanks to everyone who made this edition what it was:
🔸 to all Participants, for the energy, curiosity and great questions,
🔸 to our Speakers, for bringing real stories and clear thinking,
🔸 and to our Partners, for the support behind the scenes.

The meeting’s over – now what?
Most people forget half of what was said. And almost no one wants to write the minutes.

That’s where tools like Copilot in Teams start to earn their keep — automatic transcripts, summaries, and follow-ups. Is it perfect? Not yet. But if it takes 3 minutes instead of 30, that’s already a win.

A lot has changed in process work over the last 10–15 years. But one thing hasn’t: you can’t automate what you don’t understand.

In this episode of the Office Samurai podcast, Andrzej Kinastowski talks with Zuzanna Pamuła about how process improvement actually looks today in large companies – when automation, RPA and GenAI tools are already part of the environment.

They talk about how analysts and lean experts work today, what tools like productivity mining can and cannot do, and why some organizations are coming back to continuous improvement after automation-first strategies turned out to be harder than expected.

They also share examples of how Microsoft Copilot, Teams and Outlook support daily work and where human experience is still essential. If you work in GBS or lead operations teams, this episode offers a grounded perspective on what actually helps and where to focus your efforts.

🔸 ISO 9001:2015 – Quality management
🔸 ISO 14001:2015 – Environmental management
🔸 ISO 45001:2024 – Health and safety at work

In our daily work, we apply data classification, access control based on the least privilege principle and multi-factor authentication (MFA), encrypted VPN connections, regular backups, and tested business continuity procedures. Our internal policies follow GDPR — from onboarding new employees to incident response.

Not every change needs a project, a budget, or a Jira ticket.
Sometimes all it takes is someone noticing we've been doing something completely pointless for years.

In this reel from the latest AI Automation Dojo episode, Andrzej shares a story from a team where a simple test by one person eliminated a ridiculous process step - one that had been treated as “standard” for way too long.
