Ways for Inclusive Development (WIND) Consult Ltd is a private company which supports organizations including marginalized groups in the development of business plans and interventions. WIND Consult Ltd provides services in public health, disability, and development in: programme development, strategic planning, monitoring, learning, documentation and evaluation. Further, train community, mid-level and national managers and policy makers in programme management and service delivery especially for disability, older persons, refugees, orphans and other vulnerable groups. WIND also provide training in work ethics and etiquette and provides administrative support for businesses and NGOs in human resource, financial and logistical management.
WIND Consult Ltd provides administrative support for businesses and NGOs and currently provides human resource, financial and logistical management for:
• Incafex Ranches: A ranching businesses in Uganda that is green-conscience with cattle and goats and is exploring into agriculture.
• Bamwendo Investments: Estates business.
• Havila Gardens: An events venue.
The conglomeration of the 3 organisations above is referred to as WIND Group of Companies. Each organisation has a focal person responsible for its day-to-day running and management. WIND Office is in Entebbe
WIND is looking for a suitable person to fill the position of Finance and Administration Officer, reporting to the Managing Director and part of the senior management team.
JOB SUMMARY
The Finance and Administrative Officer will have the overall responsibility of the financial management for the Group of Companies including but not limited to maintaining books of accounts, generating and presenting periodic budgets and reports, managing expenses and advising senior management on financial matters of the organization. S/he will provide administrative support for the companies, working closely with the focal person for each organisation.
Technical supervision and oversight of finance, accounting and administration duties will be provided by the Executive Director.
KEY SPECIFIC DUTIES AND RESPONSIBILITIES
Accounting/Finance
• Compliance and consistency with organizational policies and procedures, as well as compliance with Government statutory provisions and any donor agreements.
• Record and account for daily transactions, ensuring accuracy and completeness of required files and supporting documentation serving as evidence of transactions.
• Sound cash management of local bank accounts and maintenance of petty cash fund.
• Process cash disbursements in accordance with financial management policies and established approval levels.
• Process payroll, remit tax and other government contributions and reports to local agencies, as necessary.
• Responsible for accounts payable through payment of invoices.
• Timely payment to all group of companies payees and maintains sufficient and complete payee files.
• Prepare quarterly(and or as required) financial reports for the companies and donors; including internal management reports for the Managing Director and Executive Director and containing budget to actual expenditure information.
• Perform month-end closing and year-end duties such as reconciliations, VAT reimbursements, inventory lists, directors’ returns etc.
• Prepare for annual financial audits
• Responsible for procurement activities in accordance with company procurement policy.
• Prepare and submit reports and filings in compliance with local government laws.
• Provide assistance to organizational focal persons staff and project staff in budget preparation and prudent financial management.
• Propose improvement to financial systems and policies in view of emerging needs and changing laws.
Office Operations/Administration
• Work with the focal persons for each organisation to contribute to the development and implementation of the business plans
• Responsible for all matters related to the organizations’ governance and administration.
• Management and maintenance of the organisations’ web presence and foot print.
• Ensure registration requirements are kept current all times and file statutory returns.
• Oversee administration of human resources, including but not limited to, maintaining personnel files, assisting with recruitment and orientation procedures, purchasing and maintaining adequate health and other insurance policies, etc.
• Oversee maintenance of local information technology, including properly functioning IT equipment and routine maintenance.
• Maintain physical and electronic filing and backup systems.
• Carry out any other tasks as assigned by the Executive Director
• Supervise fleet manager
• Ensure clean, safe and equipped office.
REQUIRED SKILLS & QUALIFICATIONS
• Minimum qualification of a bachelor’s degree in accounting/financial management from a recognized institution
• A postgraduate diploma or degree in business management or related course will be an added advantage.
• Professional qualifications such as : ACCA, CPA (Partial - level II) is desirable
• 2-3 years’ experience providing financial management to a medium or large scale business, administrative support, including HR related matters.
• Minimum of two years’ experience using on accounting/financial management software, preferably Tally Accounting software.
• Good knowledge and experience of information management
• Good organizational skills.
• Good communication & interpersonal skills
• Good Excel skills
• Excellent oral and written English.
