Estimating prices is one of the toughest aspects of managing a maintenance department, often taking years to master.

However, it can be expedited.

When we were a GC, I personally contacted hundreds of PMCs weekly, with 95% uninterested in our services. Yet, 99% would likely value access to all local vendor pricing, a database that currently doesn’t exist but is crucial for accurate price estimates.

Next best thing?

In new markets, we accelerate learning by onboarding as many vendors as possible, obtaining their price lists, and testing their services.

Though this requires effort, the cost savings for owners and reduced turnaround times for tenants and a maintenance team are well worth it, to us!

Vendors are not lenders.🛑

Some Owners just don't care.

Here's the reality:

Owners can choose the path of least resistance when a needed repair is out of their budget.

Their options:

1.) Wait for funds and risk tenant dissatisfaction and bearing the consequences of that.

2.) Get it repaired anyways and pay the vendor way beyond the NET30 terms.

By making sure the funds are there, or not, you could potentially mitigate the situation by assigning a vendor who offers financing.

I recommend protecting your vendors and the long term relationships you've built with them. Be the arbiter between all parties involved.

Sure, your clients bring in most of your revenue, but over time this is the best approach considering you need these vendors to service 90% of your clients who do pay on time.

$500 NTE (Not To Exceed) is ideal...

And here's 4 BIG reasons why

1.) Faster turnaround times:
Removing the need for on-site approvals increases the 'single visit fixes' dramatically.

2.) Much less work for both PM and owner:
On-site approval related, once more. Less phone calls from the vendors and less phone calls to be made to the homeowner. These are urgent, considering the vendor is waiting on site for approval.

3.) Less frustrated vendors:
Vendors do not like to wait for, again, on-site approval. Their time is as valuable as yours.

4.) It's flexible!
When working with a new vendor, give them an NTE of $200, knowing the owner contract says $500. Then wait for the on-site approval call and approve or reject the estimate yourself.
